PURPOSE

Under general supervision, perform a variety of tasks related to the Health Center Finance’s medical billing department. Position requires knowledge of medical billing and general accounting and reporting practices with high degree of accuracy. In addition, will be responsible for providing superior customer service to all patients, students, employees and other members of our campus community as well as all external visitors. This role is responsible for providing customer service to patient and overall management of the Health Center. The Chiropractic Assistant provides general administrative support to the Health Center.

 

ESSENTIAL JOB FUNCTIONS

  • Generate weekly insurance billing processed with “manual” software.

  • Maintain specific insurance logs related to Private Insurance, Personal Injury, Worker’s Compensation and Medicare.

  • Provide customer service to patients/students/doctors with explaining technicalities from denied/partially denied claims (i.e. Explanation of Benefits).

  • Perform insurance confirmations; provide data for direct mailing to Health Center Insurance recipients.

  • Maintain confidential insurance files in H.C. Finance office.

  • Generate Advance Beneficiary Notices for Medicare patients.

  • Complete follow up on outstanding insurance claims with direct carrier contact.

  • Clerical tasks include – copying, filing, typing, mailing, etc.

     

RESPONSIBILITES

  • Ensure that the campus community receives outstanding service by providing a friendly environment which includes greeting and acknowledging every patient, maintaining outstanding standards, solid knowledge of chiropractic and all other components of Life Chiropractic College West

  • Answer all incoming telephone calls in a friendly and professional manner with a professional and pleasant disposition; calls originate from patients, students, faculty, staff, agencies, external persons/entities and the campus community. Also, voice mails during closes hours.

  • Prepare paperwork and documentation such as visit slips for the students

  • Manage and schedule appointments

  • Maintain the cleanliness and organization of the Health Center including patient adjusting areas

  • File papers and documentation such as patient/student DACBR reports

  • Run reports such as visit trial/visit

  • Prepare sign in sheets for patients/ students

  • Manage the reception waiting area, promptly and courteously attend to patient needs, and ensure appointments are managed in a timely manner

  • Maintain, retrieve and request active/inactive patient/students files, medical records and x-rays upon request

  • Process subpoena, X-ray, and medical records request

  • Responsible for laundry (washing/drying/folding)

  • Assist patients at the cashier station after visits (collecting or arranging payment plans)

  • Post payments from patients and insurance companies.

  • Reconcile cash receipts and prepare bank deposit

  • Verify and Bill Insurances

  • Abide by HIPAA laws regarding confidential patient information



REQUIRED QUALIFICATIONS

Education, Training and/or Experience

  • Familiarity with Medicare regulations, Worker’s Compensation attorney liens, and Personal Injury (med-pay) billing, and CMS 1500 form.

  • Minimum of High School Diploma or equivalent. Bachelor’s degree preferred.

  • Chiropractic or medical office experience preferred.

  • Minimum two years insurance billing experience and procedural knowledge.

  • College coursework in basic accounting.

 

KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS

  • Computer knowledge; Windows applications.

  • Excellent typing skills with high degree of accuracy.

  • Excellent organizational skills.

  • Intermediate math skills.

  • Ability to compose business correspondence.

  • Excellent written/oral communication skills.

  • Ability to work with confidential material and maintain confidentiality.

 

  • Good interpersonal skills and customer service attitude.

  • Ability to problem solve and make independent decisions.

  • Ability to deal effectively with colleagues, providers, and outside venders in solving problems.

  • Ability to plan, prioritize and organize work responsibilities.

  • Ability to coordinate multiple tasks/projects in a fast paced environment.

PREFERRED QUALIFICATIONS

  • Chiropractic office experience and bilingual language skills preferred.

Work Schedule:

Mondays 11:30 am – 8 pm

 

Tuesday 10:30 am – 7 pm (Billing Day)

 

Wednesday Off

 

Thursday 11:30 am – 8 pm

 

Friday 9:30 am – 6 pm

 

Saturday 8:30 am – 5 pm (2 pm – 5 pm Billing hours)

 

 

 

PHYSICAL DEMANDS

  1. Nature of work requires an ability to operate standard business office equipment.

  2. Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files.

  3. Much time is spent concentrating on CRT identifying and updating information and performing some data entry.

  4. Must be able to lift 25 lbs., retrieving and placing materials on high shelves and on floor-level shelves; standing, walking, carrying, grasping, hearing, seeing, sitting, kneeling, climbing, balancing, stooping, crouching, and reaching.
