Description: The Administrative Assistant provides confidential administrative and secretarial support to the department, ensuring efficient operations. As the initial contact for Counseling Services, the Administrative Assistant screens students to determine the purpose of their visit and responds appropriately. Creates, maintains, and ensures the security of confidential files. The Administrative Assistant assists the Director of Counseling Services in all routine matters.

Duties

  1. As the initial point of contact for the department greets all visitors to determine the purpose of their visit.
  2. Answers and screens all the department telephone calls. Independently takes action on calls. Schedules appointments, addresses issues of concern, assists callers as needed, and takes detailed messages.
  3. Coordinates office schedules for Counseling Services staff by scheduling, rescheduling, or cancelling appointments.
  4. Prepares reports, memos, letters, budget reports and other documents, using word processing, spreadsheet, database, or other software such as Titanium©.
  5. Performs general office duties, such as ordering supplies, maintaining records management database systems, and perform bookkeeping tasks.
  6. Ensures that all confidential correspondence is secure.
  7. Creates and maintains confidential files.
  8. Cooperates and collaborates with other employees in the spirit of teamwork and collegiality.
  9. Complies with all Flagler College policies and procedures.
  10. Follows the ethical/legal standards of the American Counseling Association (ACA), the American Psychological Association (APA), and state/federal laws.
  11. Performs other related duties as assigned.

This is a 10-month, full-time, non-exempt, benefits eligible position.

Qualifications

Minimum Qualifications:

  • Associate Degree
  • 2+ years of experience in an office environment providing administrative support.
  • Excellent computer skills with experience and demonstrated proficiency in the Microsoft Office suite.
  • High degree of organization and communication skills, excellent discretion, and attention to details.
  • Flexibility and the ability to work independently and collaboratively in an ever-changing and, on occasion, emotionally charged work environment.

Preferred Qualifications:

  • Prior experience working in a higher education environment.
  • Preference given to candidates with working experience of Titanium© (counseling services electronic medical record software).
  • Ability to work with distressed students (and parents) with sensitivity and confidentiality.
  • Ability to initiate screening process and coordination of crisis intervention services utilizing Counseling Center policies and procedures using sound judgment for concerns with potentially significant effects.
  • Experience working in a confidential setting.
