Stanford University School of Medicine, located in the heart of Silicon Valley, is a premier research-intensive medical school. We are seeking an energetic and accomplished administrative manager who is inspired by making change happen as part of a large and diverse team of professionals. The position provides administration and project management support for the Senior Associate Dean for Finance & Administration who serves as the chief business officer for the School of Medicine directing the operations and finances for the organization. The Administrative Manager plans and execute projects with minimal supervision that require synthesizing diverse perspectives while influencing and communicating results. He/she develops compelling presentations (slides, reports) incorporating quantitative and qualitative materials for a sophisticated audience of faculty and executive leaders. This position requires integrity, discretion, and the ability to exercise judgment in handling sensitive and confidential information. The successful candidate will be analytical, quick-thinking, flexible with a strong emphasis on organizational skills, excellent communication skills, and an unwavering attention to detail. He/she will be conversant in the goals and priorities of the Senior Associate Dean and will utilize this knowledge to prioritize tasks and responsibilities. The position schedules meetings and maintains the calendar for the Senior Associate Dean, evaluating importance of meetings and events to optimize her time. He/she ensures that meeting materials are prepared and distributed within appropriate timelines and manages the budget and daily operations of the unit.

Qualifications
  • Minimum of three years, five years desired, of executive-level administrative associate experience

  • Excellent written communication, editing and information gathering skills

  • The ability to plan and manage multiple projects
  • Must be able to work collegially with faculty, executives and staff both internal and external to Stanford
  • Must possess the ability to make decisions, present them, and follow through with implementation
  • Must possess excellent computer skills. Must be proficient with Outlook, Word, Excel, and PowerPoint

  • Candidate should possess exceptional organizational, analytical, and quantitative skills, good judgment, flexibility, ability to work independently, and supervise and provide direction to office staff

    EDUCATION & EXPERIENCE (REQUIRED):

    Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
