DescriptionThe University of Colorado's (CU) Procurement Service Center (PSC) is a nationally recognized procurement office dedicated to using technology to enhance the university's programs and create efficiencies within policies. PSC supports the entire CU community, which includes four campuses plus system administration. Position Summary:
The Administrative Professional is located in the Procurement Service Center within the System Administration Office at 1800 Grant Street in Denver. This position is supervised by the Administrative Supervisor and is responsible for a broad range of professional-level, administrative duties in support of the Procurement Service Center, Leadership Team, staff-members, and to the centralized functions of Procure-to-Pay for System Administration and all University campuses.

This position works with a wide range of internal and external constituents and is required to demonstrate professional customer service while assisting, informing, and directing customers to appropriate resources. This position manages the intake of a high volume of invoices and payment requests. The Administrative Professional must be detail oriented and have a solid understanding of the Microsoft Office software suite, as well as document management software, eProcurement software, and expense management software. This position is exempt from the State of Colorado Classified Staff system. 

Duties and Responsibilities:
Duties and responsibilities of the position include, but are not limited to:
  • Serves as the primary point of contact for visitors to the Procurement Service Center, which includes:
    • Maintaining reception area
    • Greeting and directing guests
    • Monitoring and arranging coverage and scheduling of Front Desk.
  • Manages a large volume of emails sent to a shared email address (apinvoice@cu.edu), which receives all invoices sent by suppliers and campus departments for payment by the University.
  • Reads, categorizes, sorts, confirms, edits, and saves email content and attachments to shared files.
  • Imports files to document management software (ImageNow) and prints large batches of files to centralized printer, ensuring accuracy, clarity, visibility, and completeness of printed and imported images.
  • Scans documents and imports directly into document scanning technology.
  • Identifies critical versus routine invoices and triages for processing.
  • Performs daily document audits by ensuring that all documents uploaded to document management software are imported successfully and documents saved for printing are successfully printed to centralized printer.
  • Provides administrative support to department employees and procurement services leadership team
  • Maintains accurate training materials, front desk procedures, and associated documents.Knowledge, Skills, and Abilities

To be successful in this position, candidates will need the following:
  • Knowledge of principles and practices of basic office management and organization.
  • Knowledge of document repository technology and scanning technology.
  • Experience in utilizing technology to automate processes.
  • Ability to work effectively as part of a team.
  • Ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.
  • Ability to communicate effectively both orally and in writing, to maintain confidentiality in daily operations, and to conduct daily duties in a professional manner.
  • Ability to work independently and under pressure, to manage multiple concurrent tasks and responsibilities, and to deal with changing priorities, while maintaining personal effectiveness.
  • Skilled in and ability to utilize Microsoft Office programs.
  • Skilled in providing excellent service to internal and external customers.
Who we are: System Administration, which also houses the Office of the President, is located in the uptown neighborhood of Denver with an office in Broomfield and a few smaller offices located on the campuses. What we offer: 
Salary: The salary has been established at $40,000 but is commensurate with skills and experience.

QualificationsMinimum Requirements:
  • Bachelor’s degree from an accredited institution of higher education or equivalent professional experience (professional experience may be substituted on a year for year basis for the educational requirement)
  • One (1) years of experience in general office responsibilities and procedures.
  • Preferred Qualifications:
  • Knowledge of the University of Colorado, including its organizational structure.
  • Familiarity with University systems and procedures, specifically related to the Procurement Service Center functional areas.
  • Experience with document management software.
  • Experience with Jaggaer, Concur, and Image Now.
