Description:

The Engagement Resources Specialist is responsible for supporting the university’s engagement efforts with alumni, parents and friends through the strategic use of communications tools. Primarily, this position provides support for external communications and interactions through direct and electronic mail and through use of the online alumni community, Colonnade Connections.

STATUS: Full-time, 12 Month, With Benefits
WORK HOURS: Monday - Friday 8:30 a.m. - 4:30 p.m.
FLSA: Non-Exempt
MINIMUM PAY: $16.78 / hour

Essential and Related Functions:

  • Manages participant records for alumni and parent events, working closely with the gift processing team and colleagues in Alumni Engagement, Lifelong Learning and Special events. Produces merged profiles for staff attending events.
  • Under the direction of the Assistant Director for Engagement Resources, work with leaders in Communications, Alumni Engagement, Development and Law School Advancement to support their operational needs for segmentation, testing and analysis.
  • Creates and maintains queries and exports used for mailing lists and emails.
  • Supports the online community including training Advancement staff, building online giving and registration forms and troubleshooting.
  • Continuously seeks opportunities to improve the Colonnade Connections experiences of alumni, parents and friends of the university, while providing a high level of customer service.
  • Serves as a key member of the advancement operations team providing support and service to all members of Advancement on additional projects when required.
  • Other duties as assigned.

Required Competencies:

  • Plan and Coordinate - Complies with attendance and work hour standards. Makes an effort to communicate scheduled absences and late arrivals to supervisors in advance. Makes an effort to learn and observe quality/safety/cleanliness standards when handling the University resources (e.g., workspace, equipment, tools, etc.).
  • Technical Skills - Performs simple and routine work requiring basic skills and functionality, in a timely, thorough and accurate manner. Readily learns new information, practices and selects correct processes from clearly prescribed rules, standards or instruction. Makes an effort to seek advice and clear non-routine problems with senior work group member and/or supervisors.
  • Results Focused - Able to change work habits and approach to a particular task. Presents a positive outlook and is willing to devote the time and effort necessary to get the job done well. Able to quickly identify what needs to be done and takes action before being asked or required to do so.
  • Communication and Relations - Able to speak and write clearly (within role requirements) to convey messages effectively. Makes an effort to act on all requests independently and recognizes when to escalate issues/ problems to supervisors. Courteous and prompt when listening and responding to requests and requirements.
  • Teamwork - Participates willingly towards accomplishing work group goals. Listens carefully and attentively, encourages and accepts other points of view. Demonstrates respect and concerns for thoughts, feelings and rights of others.

Qualifications:

High school diploma or GED required with a minimum of 3 years’ experience in an administrative or marketing function or a combination of education and experience from which a similar background would be obtained. The Engagement Resources Specialist must have exceptional attention to detail and strong organizational skills. He/She should have experience working with a comprehensive database and some knowledge of marketing and analysis. Must be a proficient user of Microsoft Outlook, Word and Excel; experience with Raiser’s Edge or another relational database is a plus. Must be sensitive to confidential personal, giving and asset information, and must be able to work in an office setting and follow organizational protocol.

Physical Requirements:

  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.
  • Grasping: Applying pressure to an object with the fingers and palm.
  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.

Working Conditions:

  • The worker is not substantially exposed to adverse environmental conditions (as in typical office or administrative work).
  • Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
