Job Description
The Office of General Counsel represents the University of North Texas System in all legal matters. This position performs moderately complex technical and administrative support in a team environment supporting lawyers and other staff in a public, in-house practice. The position works under general supervision with considerable latitude for the use of initiative and independent judgment.

Responsibilities include:
  • Type, edit, proofread and finalize correspondence, reports, forms, and other documents.
  • Organize and maintain electronic and paper files in accordance with office guidelines for document and case management.
  • Mail, fax, or arrange for delivery of correspondence.
  • Process incoming mail and documents.
  • Answer phone calls, route incoming calls, take messages.
  • Maintain multiple attorney schedules and calendars and track deadlines.
  • Organize and coordinate meetings, conferences, training sessions and events.
  • Communicate with clients and external contacts to answer inquiries and provide information.
  • Assist attorneys and paralegals in collecting information and records.
  • Prepare travel, time and expense reports in accordance with state regulations and policies.
  • Assist with records retention in accordance with applicable System and institution policies.
  • Compile and analyze data and prepare reports and summaries as necessary.
  • Data entry and use of Excel to track data.
  • Assist with establishing and revising office work procedures to improve office efficiency.
  • Submit requests for computer hardware assistance.
  • Order and maintain office supplies.
  • Perform other secretarial, administrative and clerical duties as necessary.

Minimum Qualifications
The successful candidate will possess an Associates degree and four years of office Administrative support or secretarial experience; or any equivalent combination of experience, education, and training which provides the following knowledge, skills, and work styles:
  • Exceptional oral communication and interpersonal skills, internally and externally.
  • Advanced written communication skills.
  • Detail-oriented.
  • Ability to work under pressure, to adjust and be open to change, to handle multiple tasks, and to coordinate the work of others.
  • Ability to manage and organize voluminous records.
  • Ability to manage time and conceptualize, plan, prioritize and organize multiple tasks, projects, and assignments effectively.
  • Ability to think critically and apply deductive reasoning.
  • Strong ability to establish and maintain effective working relationships with co-workers, peers, and supervisors.
  • Knowledge of law office operations, case management, basic legal terminology, court procedures, and governmental agency structures.
  • Strong sense of integrity and ethics and ability to maintain confidentiality.
  • Highly dependable, personally responsible self-starter who exhibits initiative and a willingness to take on responsibilities.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications:
  • Four years or more administrative support/secretarial experience with a law firm or in-house legal environment.

Physical requirements necessary to perform essential job functions
Work is primarily sedentary. Sits comfortably to do the work; however, there may be some walking, standing, bending, or lifting items weighing up to 15 pounds.
