Description:

Under the guidance of the Associate Director, SFS Compliance and Quality Assurance, the SFS Operations Assistant will be responsible for accurate and efficient processing of Health Insurance and Tuition Insurance waivers. This position is responsible for all Title IV documentation scanning and completeness of student files. Assist in answering general telephone inquiries, problem solving and resolution of all issues pertaining to student billing, posting of payments, financial aid awards and student refunds. Individual must be committed to first class student service, accuracy and attention to detail.

Job Duties:

  • Accurately and timely processing of both tuition and health insurance waivers electronically using DocuWare and Ellucian Colleague; reconcile to assure student accounts are credited accordingly. Communicate with students and resolve exceptions (i.e. expired insurance cards, insufficient coverage, lack of international insurance coverages, etc).
  • Assists our SFS Counselors in servicing students telephone inquiries by identifying and correcting billing issues and irregularities, inaccurate posting of payments, financial aid awards and student refunds. Escalate serious issues to executive director using professional judgment.
  • Responsible for scanning and linking all Title IV and non-Title IV documents to student's file. Organize documents in a professional manner and assist with retrieval and printing during annual Single Audit Report and/or as per request of the Associate Director of Compliance and Quality Assurance.
  • Assists the Associate Director in running automated processes (i.e. XFATR, DLVR, PLVR,…etc) to help with error resolutions of posting financial aid awards to student accounts and to maintain Title IV dashboards and unrestricted & restricted aid scorecards.
  • In collaboration with office of Human Resources, assists with processing, posting to student's account and reconciles Tuition Remission benefits and/or Tuition Exchange.
  • Assists with reconciliation of student AR to GL and, monthly Direct Loan and Pell Grant reconciliations.
  • Maintains calendar and schedule of the Executive Director and maintains record of all staff sick, personal and vacation day taken.
  • Performs other job-related duties as assigned.

This is a Local 153 Clerical position.


Qualifications:

Education: Bachelor's Degree preferred.

Experience: Two to four years of experience working within a higher education student account office and/or student financial aid office environment;

Skills:

  • Advanced level skills in Microsoft Office Suite required (Word, Excel, Access and PowerPoint); working knowledge of Ellucian Colleague and/or other student Information systems preferred;
  • Excellent verbal and written communication skills;
  • A professional and resourceful approach; the ability to work independently and as a team player, to take initiative, and to manage multiple tasks and projects simultaneously; must demonstrate ability to maintain confidentiality of records and information; excellent organizational and problem resolution skills required;
