Position Summary

The Center for Ballet and the Arts at New York University (CBA), a provostial center, is seeking a proactive, ambitious Administrative Aide II with exceptional organizational skills to serve as its central administrative lead.CBA is an international research institute for scholars and artists of ballet and its related arts and sciences. It exists to inspire new ideas and new ballets, expanding the way we think about the art form’s history, practice, and performance in the 21st century.  Founded by historian Prof. Jennifer Homans and led by the Executive Director, the office serves a variety of stakeholders (including the general public, fellows, CBA audience members, and funders) in support of its mission via hosted events, fellowships, and dedicated studio space, all requiring timely and effective administrative handling for payment and vendor processing, technology and event support, space and office maintenance, and responsiveness to fellows' questions or concerns.CBA values sound judgment, the ability to self-organize, the ability to adhere to deadlines and prioritize tasks, and a positive approach to the work and the clients we serve.  The Administrative Aide II performs a wide range of clerical, secretarial and general office duties including those of a confidential nature. Prioritize office activities and delegate work to student and/or casual employees. May act as work leader to junior clerical support staff. Respond to inquiries displaying a comprehensive knowledge of the department's activities, policies and programs.  Interact with the general public as NYU liaison and with University personnel including those at the senior level to resolve issues and problems. Customize and/or compose letters on own initiative or in response to requests for information.  Perform general word processing duties utilizing intermediate to advanced-level functions. Modify and/or create databases and complex spreadsheets. Monitor complex department budgets and/or grants.

Qualifications

Required Education:High School diploma or equivalent.Required Experience:3 years of office experience. Experience providing a high level of customer service.Preferred Experience:2 years of office experience (with Associate's degree). 1 year of office experience (with Bachelor's degree).Required Skills, Knowledge and Abilities:Proficiency with intermediate to advanced word processing, spreadsheet and database applications. Moderate to fast, accurate keyboarding. Good proofreading and writing skills.Preferred Skills, Knowledge and Abilities:Proficiency with intermediate to advanced Microsoft Office or proficiency with Apple. Knowledge of desktop publishing software. Knowledge of Access.
