Job Description PRIMARY FUNCTION(S): Administer the Science Center stockroom programs for purchasing, purchasing systems and database management, and support the college’s safety and compliance programs. Provide related departmental support, e.g. computer systems support. With day-to-day autonomy, operate one of the two Science Center stockrooms, including determination of appropriate types and amounts of chemicals and apparatus for the users in that facility as well as managing the flow-through budget of the particular stockroom, involving reconciliation of journal entries, reallocation to end purchaser, and review to ensure credits are received. Operational activities include conducting end-of-year inventory and the associated reconciliation for the individual’s designated stockroom. 

 

 

 

DUTIES AND RESPONSIBILITIES:

 

Purchasing and Inventory Control: Administer Clark Science Center programs for purchasing, determining and maintaining appropriate types and levels of inventory. Purchase chemicals, equipment, supplies and services for faculty and staff consistent with the need for appropriate quality, value and timeliness to ensure the efficient operation of the Science Center. Conduct physical inventories of Stockroom items as needed. Use online purchase systems, where applicable. Where required, reassign charges for purchases to appropriate departments or grants using online reallocation systems or journal entries, and process invoices associated with purchases from outside vendors. Receive incoming deliveries, inspect and deliver to appropriate faculty or staff member. Resolve payments issues and work with faculty and staff to resolve quality issues. Assist CSC faculty, staff and students purchasing stock items. Negotiate contracts with suppliers and investigate new purchasing systems and vendors as appropriate. Reconcile accounts on a monthly and annual basis in order to manage a ‘flow through’ budget for each Stockroom.

 

 

 

Computer Systems and Facilities Management:

 

Maintain the Chemical Inventory management database for incoming and spent chemicals. Maintain the inventory/transaction database for CSC Stockroom items. Assist in administering the Science Center key distribution/database system. Assist in administering and maintaining other Science Center databases, including equipment. Assist the Laboratory, Safety & Compliance Services Director in administering Clark Science Center programs for health, safety, and environmental management, including laboratory inspections and chemical management. Assist in the implementation and ongoing support of systems to enhance purchasing activities through e-procurement and/or payment programs and systems.

 

 

 

SKILLS AND QUALIFICATIONS:

 

Education/Experience: Associate’s degree, plus one to three years of relevant experience or an equivalent combination of education and relevant experience.  Experience in purchasing, inventory management and reconciling accounts through re-allocation. Some knowledge of chemistry, biology, scientific purchasing and/or health and safety regulations preferred.

 

 

 

Skills: Excellent communication (written and verbal); strong interpersonal skills, including team-working; demonstrated high level of professionalism and attention to detail; proven ability to operate successfully in a highly structured, complex environment; ability to interact positively with a variety of customers, along with a strong customer-service focus; proficiency with Microsoft Word, Excel and Access (or other database program) and web applications.

 

 

 

Physical Requirements: Must be able to lift and carry 40 lbs. regularly.
