General Summary

Reporting to the Technical Director, the Facilities Coordinator is responsible for the professional management, staffing and scheduling of all School of Music facilities including: Holtschneider Performance Center performance spaces (Gannon Concert Hall, Allen Recital Hall, Brennan Recital Hall, Corboy/Dempsey Jazz Hall, Jarvis Opera Hall) and the School of Music building. Alongside technical director, hires, schedules, trains, , and manages 30-35 student employees annually who work as stage managers, setup crew, and facilities assistants. Manage and oversee 300+ performances, ensuring space, logistics, and equipment are in line with expectations. Monitor and maintain instrument inventory.

Responsibilities & Duties

  • Responsible for the professional management of all School of Music space facilities, including the School of Music building, and Holtschneider Performance Center.
  • For performance spaces, this includes appearance, logistical functions, staffing, and managing the maintenance and tuning of piano inventory with piano technicians.
  • For classrooms and practice rooms, this includes accurate room set-up, equipment maintenance, and maintaining daily room schedules.
  • After-hours availability to assist students, faculty, and staff during all building-related emergency situations involving School of Music facilities.
  • In collaboration with Technical Director, hire, train, mentor, and direct 60-70 student employees who serve as stage managers, ensemble and classroom set-up crew members, and facilities office assistants.
  • Maintain documentation of student employee training materials, processes/procedures, and evaluation.
  • Maintain availability during all nights and weekends when School of Music events take place in order to guide stage managers during events and have authority to make final decisions regarding all performance space matters.
  • Monitor and maintain instrument inventory, non-technology equipment, furniture, storage, and rental arrangements.
  • Manage all instrument and equipment moves for School of Music rehearsals and events, both within the School of Music and for events at outside venues.
  • Schedule on-going academic facility usage, including student recitals, rehearsals, master classes, and ancillary functions by students, faculty and non-School of Music organizations.
  • Serve as main liaison for School of Music with core university areas of Facility Operations, Public Safety, Risk Management.
  • Maintain business continuity plan and school emergency procedures/processes.
  • Perform other duties as assigned.


Education & Experience

  • Bachelor's degree.


Preferred Requirements

  • Music performance background.


Managerial Responsibilities

  • Hire, train, mentor, and direct 60-70 student employees, managing and supervisingfor assorted School of Music needs, including evenings and weekends.


Other Skills & Abilities Reqd

  • Strong supervisory skills.
  • Music and/or stage management background.
  • Keen understanding of performance situations, including the ability to deal with artistic temperaments with tact and diplomacy.
  • Expertise and experience in Microsoft Office and scheduling and inventory software.
  • Strong attention to detail.
  • Highly organized.


Physical Requirements

  • While performing job duties, employee is regularly required to stand and walk.
  • Able to push heavy instruments/equipment on stage and in classrooms, including full size grand pianos.
