Job Summary

Perform general office functions and provide administrative support for the Massachusetts Export Center, located in Boston. Responsibilities include dissemination of information to clients, provision of logistical support for training programs, development of market research for clients, and maintenance of administrative office functioning.

Essential Functions

  • Meet with public, answer inquiries, and distribute pertinent information on exporting to clients.
  • Make logistical arrangements for training programs, including but not limited to: securing facilities, assist with mailings, arrangement of catering, preparing handouts and materials for attendees, and checking in attendees. Compile attendee evaluation information. Assist with the event marketing, including posting of events to online calendars and print/broadcast media outlets.
  • Maintain administrative functioning of the Massachusetts Export Center office, including: answering and routing of phone calls, entry of client data, maintenance of client files, submittal of purchase requests for office equipment and supplies, maintenance of seminar records, and other associated procedures. Assist with other office functions when necessary, including typing of documents, data entry and data retrieval. Maintain an updated database and manipulate database information in an efficient manner.
  • Assist with the development of publications when needed, including researching information for updating international trade guides, and producing marketing materials for the office.
  • Conduct international market research for clients via the internet and subscription databases. Review, edit and supplement the work of interns on research projects as needed.
  • Perform administrative functions associated with the Export Center’s annual client impact survey, including mailings, data entry and data retrieval. Publish data in a presentable format. Also assist in the compilation of additional reports and publications required for the Director and stakeholders.
  • Coordinate and support various special projects as needed, including contacting participants, organizing meetings and providing related administrative support. Manage administrative operation of the Massachusetts Export Resource Center, including recording of speakers and editing of video files.
  • Communicate between program offices to organize programmatic planning meetings, training, and seminars. Also assist other offices with retrieving data, accessing publications, and other logistical inquiries.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Excellent communications and interpersonal skills.
  • Proficiency in PC, word processing, desktop publishing, database, spreadsheet and email communication required.
  • Experience using the internet for market research.
