As part of the current campaign fundraising goal is $3 billion through 2026, the Director of Gift Accounting acts as a primary liaison between Advancement and Finance as it relates to the audit of gifts and review of all gift entry more than $10,000, to include named funds in support of the University's fundraising activities. This individual ensures accurate recording of pledges, outright gifts, and pledge payments in compliance with GAAP. This position plays a key role in the University gift policies and procedures and provides expertise and consultation to the constituents across the University related to proper set-up, recording, accounting and spending of various types of gifts.

The Office of Gift Administration is responsible for 120,000+ annual gift and pledge transactions. The incumbent will oversee the data integrity of charitable donation information, as well as monitoring data quality, while adhering to departmental policies and procedures, industry best practices, and regulatory requirements including those outlined by CASE, NACUBO, FASB, GASB, and the IRS. The Director participates in the system analysis of a donor database, which includes gift policy administration, gift and data acceptance and entry, and user training.

The Director of Gift Accounting reports to the Assistant Vice President, Financial Planning and Gift Administration. This role collaborates closely with the Director of Network Engineering, Director of Production, Senior Financial Analyst, Business Managers (2), Contracts Coordinator, Front Office Manager, and Senior Director of Gift Administration. The Director will oversee 2 FTEs from Gift Administration to include the Senior Director, Gift Administration and the Recording Secretary. Additionally, this position works closely with various departments within Advancement, and across campus with Financial Affairs, General Accounting Office, and Budget Administrators across campus.

The Director of Gift Accounting will have duties that include, but are not limited to the following:

Gift Administration
  • Provide the second level of approval of gifts over $10K; ensure completeness and appropriateness of documentation to support the accounting of gifts in the University's financial system.
  • Review and determine the nature and accounting treatment of pledges, gifts of cash and securities, and gifts-in-kind to ensure accurate assignment of the accounting worktags (Cost Center, Fund, Program, Purpose, Gift, Assignee, Project, Ledger Account) used in posting the transactions in the general ledger.
  • Work with the department, General Accounting Offic,e and University Financial Systems campus CFOs to oversee the process of creating gift worktags as appropriate and according to University financial policy for named funds and level of giving; ensure that gift documentation and chart of account designations are in alignment and all gifts will pass external audit scrutiny.
  • Participate in the development and continuous review of policy and procedure creation for the handling and recording of gifts on Affinaquest.
  • Oversee bank reconciliation from the lockbox to the ledger to include, checks, wires/ACH, securities, and credit cards.

  • Develop and monitor system for ongoing accounting of transactions on GMS, ensuring that transactions fed from GU360 (Affinaquest Gift System) into Workday GMS are accounted for as expected.
  • Manage relationship with the General Accounting Office to understand how gift revenue is treated on the balance sheet and identify and resolve gift accounting issues promptly.
  • Support the Chief Accounting Officer and General Accounting Office staff in responding and providing appropriate documentation to external auditor's requests and questions.
  • In coordination with the Finance Office, the Director will be expected to develop and execute a plan for systematic University compliance audit of Gift Agreements to donor intent (this will be a multi-year project that may require additional term employees to complete).
  • Support the Chief Accounting Officer and General Accounting Office staff in responding and providing appropriate documentation to all other audits as appropriate, to include but not limited to internal audit requests and questions, system audit requests and questions, and any other audits that may occur from time to time.
  • Adept in GU360 system for forensic accounting analysis and to pull documents for auditors.

  • Collaborate in the Donor Agreement process to assure language aligns with donor intent and provide guidance and serve as a resource to the development officers on matters related to the classification of gifts, accounting impact of the terms and conditions of the gift agreements, and the interpretation of the donors' intentions in accordance with GAAP and the University's policies.
  • Ensure that the accounting, recording, and reporting of the gifts in the University's financial system is consistent with the gift agreement and donor's intention.
  • Represent Gift Administration in Senior Level Advancement and University Meetings
  • Ensure compliance with applicable laws, rules, and regulations such as FASB, GAAP, IRS and PCI-DSS Compliance, CAE and CASE Standards.
  • Work closely with Tax Office as necessary, to include verifying that all IRS guidelines are met; prepare and review the information reported on the University's Form 990 Annual Statement; participate in the Canada Department of Revenue Audit by developing recommendations for compliance
  • Develop and execute a plan for systematic university compliance audit of Gift Agreements to donor intent (a multi-year project); work should inform University-wide training, developing, and maintaining training programs for the effective management and control of gift administration functions at the University.
  • Participates as necessary in PCI Compliance as it relates to gift activity.

System Functionality
  • Participate, as appropriate, in GU360 for system maximization to assure inclusion of best practices in new workflows for GAAP; works closely with the Advancement PCI Coordinator to ensure that all credit card gifts and related procedures are PCI compliant.
  • Collaborate with partners on system testing for upgrades to validate gift transactions records and transfer as expected.
  • Participate in the development of test scripts (to make this a less manual process) for system upgrades.

  • Bachelor's Degree
  • Minimum 5-7 years of relevant experience, to include systems and data management experience
  • Excellent verbal and written communication skills and highly developed interpersonal interaction skills to include the ability to exchange and interpret information requiring understanding to influence others
  • Demonstrated successful leadership
  • Experience with major fundraising database systems such as Salesforce
  • Strong analytical skills, with a demonstrated knowledge of GAAP and gift and fund accounting
  • Excellent planning skills with the ability to identify, clarify, and articulate a project's purpose, goals, and outcomes
  • Ability to align unit goals with greater organizational goals and leverage institutional knowledge to advance programs, services, and offerings
  • Strong business acumen and the ability to make thoughtful decisions
  • Demonstrated customer service skills and the ability to work effectively and collaboratively with faculty, staff, administrators, and donors
  • Ability to lead, motivate, and collaborate with others
  • Strong computer skills required including all Microsoft applications (Word, Excel, and PowerPoint). Proficiency on PRM and Gambit will be necessary for adherence to prospect management system
  • CPA and Masters degree in finance-related specialization or other professional qualification are preferred
