Basic Function

The Senior Program Associate will support the management of the Community College initiative Program, including the Director of International Education Programs and Associate Director in this restricted position that is funded through a Department of State grant. NOVA serves as the fiscal agent for this grant.

Duties and Responsibilities

The Senior Program Associate will support the management of the Community College Initiative Program through Administrative tasks required to run the Grant Program. The position entails the following responsibilities:
•Grant Logistical Support of $20 million grant
•Management of all historical data of the grant from 2010 to present.
•Management of data and communication with all consortium partners from 2010 to present.
•Travel Management for students and staff
•Provide clearance for student applications in close collaboration with US Department of State – including but not limited to medical clearance, requirements clearance, and eligibility.
•Template Generation and Design
•Online Database Management for all current and historical data from 2007 to present (2,500 + students)
•Run specific reports requested by the US Department of State and NOVA
•File Maintenance and Data Entry
•Support of Office Functions
•Program Organization and Event Planning
•Provide support with quarterly program reporting – programmatic and financial
•Reporting on Program Compliance – Title 9 and Clery Reporting
•Materials/Supplies
•Office Management
•Alumni Records
•SEVIS Registration
•COINS/ASPE Registration
•Scheduling
•Supervisory responsibility for CCI Program Assistant
•Other duties as assigned

Minimum Qualifications

•Bachelors degree in international relations or education, business, statistics or data analysis or related field OR Combination of education, training and experience.
• Administrative support experience
• Experience with reporting – programmatic and financial
• Experience with the administration of international exchange or education programs.

Preferred Qualifications

•Significant administrative experience
•Experience with working on U.S. Department of State or other U.S. federal agency grant preferred.
•Experience working with federal budgets
•Experience with working in a Community College setting
•Experience with working with international students

Required Knowledge, Skills, and Abilities

• Ability to communicate clearly and effectively with managers, US Department of State, Community College Consortium partners, commissions and posts, and vendors in a timely manner.
•Ability to work on multiple tasks simultaneously.
•Ability to be flexible to changing priorities.
Ability to work independently, accurately and under pressure
•Posses excellent computer skills (Microsoft Office Suite)
•Ability to complete tasks with minimal supervision. Act independently to solve any logistical or administrative problems that arise.
•Capacity to handle multiple projects simultaneously
•Effective oral and written communication skills, tact and sensitivity to foreign cultures
• Highly organized and detail oriented
•Experience collecting, researching and analyzing data
•Experience maintaining records so they are updated, accurate, and easily accessible. Maintain key documents.
