Job Id: 384 # of Openings: 1 EDUCATION DEPARTMENT - EDUCATION SPECIALIST PART TIME POSITION - 20 HOURS PER WEEK / 10 MONTH PER YEAR ResponsibilitiesReporting to the Office Manager, the Education Specialist provides support for faculty and guidance for students seeking teacher licensure. The Education Specialist collaborates with the Department Chair, the Clinical Placement Coordinator, the Undergraduate Coordinator, and the Graduate Coordinator to meet the needs of the Education Department.General Office
  1. Keep current on communication (email, text, phone)
  2. Greet guests and make appointments
  3. Update procedures manual
  4. Assist office manager in maintaining and purging files and databases
  5. Cover for office manager’s lunch breaks
Departmental
  1. Process WheTEP (Wheaton Teacher Education Program) applications and Master of Arts in Teaching applications, keeping records of all prerequisites (including paperwork, classes, recommendations, clinical experiences, and Illinois content-area tests)
  2. Maintain communication with students regarding international student teaching applications, the WheTEP application, interviews, WheTEP acceptance, student teaching approval, and required Illinois content-area tests
  3. Collaborate with the clinical placement coordinator in requesting and confirming placements for the methods practicum and student teaching
  4. Maintain correspondence (including partnership contracts for schools and honoraria for cooperating teachers) with districts, principals, teachers, clinical placement coordinator, undergraduate coordinator, and secondary coordinators for methods and student teaching placements
  5. Update and maintain Access database (majors/students enrolled; contact information of graduates; district, principal, cooperating teachers lists and contact information; electronic copies of syllabi; test scores; WheTEP prerequisites; edTPA scores, and more)
  6. Create and maintain undergraduate and graduate files
  7. Process Major Change forms and assign advisors
  8. Provide information as requested to the Registrar’s Office regarding Education majors
  9. Assist with updates to the department website
  10. Do initial research for annual reports (currently PEDS, ISBE, WC Annual, CCADE, Title II)
  11. Create paper-based and electronic Permanent Files and Student Teaching Records for graduates
  12. Provide technical support to faculty in setting up DRF programs and edTPA programs in an online platform
  13. Other duties as assigned
Qualifications
  1. Bachelor’s degree
  2. Proven organization skills and ability to prioritize and manage details and processes
  3. Excellent attention to detail with the ability to attend to multiple tasks and deal with frequent interruptions
  4. Strong technical skills to support the use of Word, Excel, Mail Merges, Access, and other software such as Qualtrics, Watermark, JotForm, Newton, and OnBase
  5. Good communication skills (verbal and written)
  6. Self-motivated and flexible mindset
  7. Teaching certificate preferred
