Job Details
The Executive Assistant serves as administrative support for the Office of Teacher Education and Outreach in Watson College of Education. This position provides operational responsibilities of the Associate Dean, Directors of the Professional Development System, Office of Professional Experiences, and the Educational Laboratory. The Executive Assistant will independently:
Generate documents, reports, and data representations
Anticipate the needs of administrators based on schedules, upcoming meetings, and the changing environment of the University
Complete work tasks with the appropriate levels of discretion to protect sensitive and/or confidential information
Manage budgets to include supplemental pay, payment requests, and contracted services
Coordinate the work activities for other administrative support staff within the Office of Teacher Education and Outreach
Research and record information from external or internal resources for report generation and document creation
Provide support for planning of accreditation visits and assistance in document preparation
Provide general administrative support (calendar management, drafting/editing communications, creating spreadsheets, making travel arrangements, etc.
Provide support for event planning as needed in the office of Teacher Education and Outreach
Duties also include key control, inventory keeping, supervision of work study students and graduate assistants
The Executive Assistant will research, interpret, and analyze a variety of policies, procedures, and regulations in order to select the most appropriate course of action within specific procedural and operational guidelines.
N.C. Minimum Required Knowledge, Skills, & AbilitiesHigh school diploma or equivalency and three years of progressively responsible administrative/office management experience;
or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Ability to track and monitor pertinent activities (program changes, critical correspondence) in an organized fashion to keep the office running efficiently
Ability to organize and adjust workload to handle multiple responsibilities
Ability to coordinate support staff in a complex office which manages all operations in a large administrative unit
Ability to identify and evaluate situations or problems to determine and implement appropriate courses of action
Ability to exercise judgment, tact, and discretion in dealing with a wide variety of administrators, faculty, staff, and members of the community
Ability to analyze, interpret, recommend, write and implement policy and procedural guidelines
Ability to research, compile and present information and numerical data
Proficiency in written and oral communication skills
Proficiency in the use of personal computer with multiple types of software programs, e.g. Microsoft Word, Excel and database systems; substantial knowledge of electronic calendaring programs e.g. Microsoft Outlook
Must have significant knowledge of other internal and external organizational units and agencies which interface with this office
Ability to embrace, learn, and adapt to new software and technologies
Knowledge of programs, policies, priorities, and commitments of the administrators it serves, and the operational structure
Preferred education, professional skills and experienceFundamental knowledge and understanding of the organizational structure of an Institute of Higher Education
