Primary Purpose of the Organizational Unit

The Office of Intercultural Engagement (OIE) is a part of the Division of Student Affairs. OIE provides many varied opportunities for all UNCG students to have active and meaningful interactions within, among. and across difference. Programs and services are designed to reach all students and to develop intercultural competence and a sophisticated understanding of intersectionality. OIE also works with many other departments to promote intercultural competence, inclusion, access, and equity for all community members.

Position Summary

-Manage all Office of Intercultural Engagement budgets, which include tracking departmental expenditures, reconciliation, budget transfers, and forecasting.
-Manage grants and co-sponsorship funding for the Intercultural Leadership Council student clubs and academic departments.
-Provide expert guidance and assistance to four full-time staff and three Graduate Assistants with processing of expenditures for travel and programming needs.
-Responsible for supervising, hiring, training, and the scheduling of 8-10 student assistant workers.
-Maintain and update the Office of Intercultural Engagement website.
-Process and manage 15-25 weekly meeting and event requests for the Intercultural Resource Center while coordinating the loan process of Jackson Library materials.
-Provide excellent customer service to students, staff, faculty and other guests; direct inquiries, and provide accurate information.

Minimum Qualifications

HIGH SCHOOL DIPLOMA OR EQUIVALENCY; OR DEMONSTRATED POSSESSION OF THE COMPETENCIES NECESSARY TO PERFORM THE WORK.

Additional Required Certifications, Licensures, and Certificates Preferred Qualifications

Associate’s Degree or two year college equivalent and one to two years related experience.

Essential Tasks

Manage Office of Intercultural Engagement (OIE) budgets with tasks such as:
-Tracking and balancing expenditures, reconciliation, budget transfers, and forecasting.
-Providing department budget status updates to the Director on a monthly basis.
-Providing support to professional staff and Graduate Assistants with the process of arranging travel, reimbursements, interdepartmental and external invoice payments.
-Managing grants and funding for the 25-30 Intercultural Leadership Council student clubs as well as joint sponsorship with academic departments.

Essential Tasks

-Processing and managing 15-25 weekly meeting and event reservation requests for the Intercultural Resource Center (IRC).
-Managing the facility set-up, staffing scheduling, updating documentation and maintain the online calendar for accuracy.
-Manage the Jackson Library materials loan process in the IRC.
-Monitoring to assure equipment is in good working order, training staff on its usage.
-Coordinating staff for re-shelving to ensure efficient access to all library materials.
-Hiring, training, and supervising 8-10 student assistants, tracking work hours, customer service training, Jackson Library loan process.

-Providing excellent customer service to students, staff, faculty and guests both in-person or via phone.
-Maintaining and providing current and accurate information in the Intercultural Resource Center (IRC) for students and visitors.
-Communicating with professional staff to stay abreast of all Office of Intercultural Engagement (OIE) programs and upcoming events.
-Answering questions fully, and refer appropriately.
-Updating the digital sign, and checking any posted flyer areas for outdated content as needed.
-Responsible for recording notes during staff meetings with accuracy and the distribution to staff participants.
-Maintaining working knowledge of all University policy and procedures to support the daily functions, mission, goals and programs of the Office of Intercultural Engagement.
