Responsible for all aspects of daily operations of Sewanee Catering. Working with Director and Associate Director, creates strategy for client relationship development and growth of Sewanee Catering brand and professional reputation. Working with the Executive Chef, Sous Chef, Senior Cook and other culinary staff, is responsible for menu development consistent with client requirements, quality control and overall presentation of all catered events. This includes client engagement and event development, exemplary execution and presentation of food, décor and staff, food and event safety, employee staffing levels, employee work assignments, cleanliness and sanitation and ensuring customer satisfaction with all catering customers. Ensures adherence to all university and department work policies and procedures including time and attendance of employees, time card reconciliation and approval as well as proper use and maintenance of facilities and equipment.

Typical Duties & Responsibilities

•Administer the catering office including client communications and relationship building by phone, email, direct meetings, Provide excellent customer service and ensure exemplary execution of events for all catering client engagements.
•Manage implementation and effective utilization of Caterease event management software ensuring effective booking processes, and client follow up as necessary .
•Determine proper staffing levels for the successful execution of all catering events
•Ensure that catering staff is properly trained and in professional attire to execute all events.
•Monitor work safety, ensure employees are following safe work practices
•Keep detailed employee records of those directly supervised as to their job performance, time and attendance and discipline employees as necessary within university HR policies and procedures.
•Approve employee’s time in the Banner software system, utilizing their time cards as a reference for those approvals
•Ensure that service ware and catering equipment is properly stored, utilized, inventoried and secured to maximize useful life of assets, and minimize breakage, theft and repair and maintenance costs.
•Coordinate with Office Coordinator to ensure accurate and timely reconciliation of event accounting including correct charges to university accounts and proper period collection of revenues.
•When necessary coordinate and assist staff in the setup and breakdown of events
•Ensure food safety by following HACCP procedures from food pickup through the end of service.
•Perform other duties as assigned

Judgment RequiredPerformance of the essential duties of this position is dependent upon independent ingenuity and developmental efforts.Budgetary ResponsibilityMonitors expenditures against budget; prepares budget data for review/approval by supervisor/department head.Machines & Equipment Used

All equipment used in an institutional kitchen; both hands on when necessary and in a training situation. This individual must be proficient in using a computer in order to utilize event management systems, vendor ordering systems, Banner Self Service time management system, Microsoft Office Suite, etc.

Job Specifications/Position Qualifications (minimum)

Education

Associates in hospitality management or a related field or a High School Diploma with equivalent experience.

Experience

Minimum 5 years of experience in a supervisory position in a large catering operation.

Job Related Skills

Ability to walk and stand for long periods of time. Ability to bend at the knees and lift objects weighing up to 25lb without assistance.

Licenses/Certification

Servsafe Management Certification or acquire within 3 months of hire

Personal Interaction/Communications

Student Contact

This position will come in contact on a daily / continual basis with all university catering clients, including students, faculty and staff. Position will be expected to develop catering programs and services for students.

Internal

This position will come in contact with multiple facets of internal customers within the University community and its expected to be the primary liaison with the campus community on all catering activities. This position will work very closely with the kitchen production staff.

External

This position will come in contact with multiple facets of external customers of the University, and its guests and visitors in a variety of operational settings, including vendor suppliers.

Supervisory Responsibility
