The Office of Professional Development (OPD) within Continuing and Professional Education (CPE) reports to the Vice Provost for the McKimmon Center for Extension and Continuing Education. OPD is the administrative unit within NC State University with campus-wide and in-house training programs. It is the mission of OPD to develop and present viable continuing education and professional development programs to the business, industrial and governmental communities, professional organizations and the general public, according to the identified needs and demands of a changing work force. The OPD staff are located within the McKimmon Conference and Training Center, which provides meeting space and equipment. In conjunctions with faculty and academic units, OPD assesses training needs, designs and develops programs and in partnership with the academic units, delivers programs in the McKimmon Center and other locations in North Carolina and nationwide.

Essential Job Duties

The Program Coordinator works independently and is responsible for managing programs developing budgets, establishing policies and meeting with program chairs and committees, and outlining program schedules as follows:

•Serves as a central point of contact regarding programmatic or operational information regarding OPD, program schedules and program content; and reviews program, confirmation letters, registration data and other routine reports to ensure accuracy of information; identifies and explains course fees, payment procedures, including cash, checks, credit cards and invoicing; explains what Continuing Education Units (CEUs) are and how to earn CEUs; provides directions to McKimmon or other: meeting locations; informs participants about instructors and their credentials: greets visitors to the office and must be able to explain any of the programs offered through OPD, reserves audio-visual equipment for instruction. Coordinate and make travel arrangements, room reservations, organizes bus schedules to and from the hotels and the program site, develops and updates mailing lists for marketing purposes; and cancels/reschedules programs by notifying participants, instructors, and meeting facilities.

•Meets with program chairpersons or planning committees to confirm instructors and speakers; confirms the arrangements for poster sessions and program exhibits; composes and distributes announcements for poster sessions and program exhibits; and presents and explains the OPD program agreements which are implemented to protect the financial risks involved with non-credit programs.

•Prepares financial records and reports and monitors the receipts and expenditures for the receipts-supported programs of OPD, which annually grosses more than $3,000,000.

•Maintains records critical to the continued certification of professionals who by the nature of their work, professional standards, or State Statues are required to acquire Continuing Education Units (CEU’s), Professional Development Hours (PDH’s), AIA Learning Units (LU’s) or other credits annually.

•Composes bulletins, pamphlets, vendor and instructor correspondence, and other correspondence which requires a degree of confidentiality or reflects policy and procedure directed to in-house or public contacts.

•Performs program closeouts to ensure compliance with accreditation requirements, organizational policy, and financial administrative procedures, which are in concert with state laws and University accounting and audit procedures in order to select the appropriate process or guideline to complete the work.

•Exercises independent judgment, decision making, and action to respond to organizational situations or public and client inquires which often require interpretation of policy and taking a course of action which will commit OPD programmatically and financially.

•Meets with clients to determine program requirements and needs; composes and prepares the budget proposal for OPD to manage the proposed program; and presents the OPD proposal daring a subsequent meeting with the clients.

•Coordinates and prepares the meeting facility reservation forms, schedules audio-visual equipment, manages the on-site registration, interacts with the catering staff on menu selection and guarantees for all meal functions.

•Ensures that course handouts are prepared and assembled and supplemental books and/or manuals are ordered.

•Contact with the public is voluminous and essential to the life of the organization and the accomplishment of its mission.

•A positive image of the office must be projected during phone calls and personal contacts with clients and program staff.

Other Work/Responsibilities

This position involves coordinating technology and professional development courses and certificates. Other duties as needed including event support and back up for other team members.

Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

  • Essential skill in the knowledge of and ability to use correct grammar, vocabulary, spelling, proofreading and office terminology to compose and/or proofread correspondence, reports, program agreements, agendas, brochures, and other OPD materials.
Preferred Experience, Skills, Training/Education

Possess evidence of strong skills in program/event management, decision-making, problem solving, flexibility in work schedule and personal accountability to accommodate out-of-the ordinary program schedules.
