As one of the largest departments of plant pathology in the U.S., we are recognized internationally for our comprehensive and integrative research and outreach portfolio, spanning basic, translational and applied programs. Our scientists ensure the economic viability of agriculture, the largest sector of Georgia’s economy, and contribute to national and global food security by reducing crop losses. Equally important, our research increases the understanding of basic biology through new discoveries in pathogen biology, resistance genetics and host-pathogen interactions.

Plant pathology is a highly interdisciplinary science at the interface of microbiology, plant biology, molecular genetics and environmental sciences. With 27 faculty members and close to 50 graduate students, we offer one of the largest and most holistic plant pathology graduate programs in the nation, with a wide range of opportunities that range from applied, field-based research to fundamental, lab-based approaches.

Position Summary

Incumbent is responsible for coordination and management in regards to accounting, budgeting and auditing many key functions of the department that include Payment Requests, Journal Entries, Petty Cash, Foundation Accounts, Budget Journals and Transfer, Travel Authorizations and Expenses, income from sales and services of diagnostic laboratories, and UGA Cash Management. These are highly scrutinized and frequently audited functions of the department that must have meticulously kept records and documentation for which effective communication both internally and externally to the department is required to assure compliance pertaining to these functions.

Knowledge, Skills, Abilities and/or Competencies

Extensive knowledge of policies and procedures in procurement, purchasing, financial management, and record keeping/retention. Effective interpersonal skills are essential for meeting the requirements of the position.

Reviews accounts to check for overages/issues. Processes budget journals and/or transfers to correct any issues. Communicates any issues/questionable charges to the Business Manager II as well as provide proposed correction. Reviews encumbrances to ensure invoices are being paid promptly and to release any extra funds. Communicates with business staff to contact vendor regarding invoices for aged encumbrances. On a monthly basis, reconciles assigned accounts through compiling backup documentation. Reviews and signs-off on ASR of assigned accounts. Reconciles the departmental petty cash fund on a monthly basis using the departmental checkbook and Wells Fargo statements. Reconciles and approves fleet services charges on a monthly basis to ensure charges are applied to the correct person/account and that funds are available. Communicates with faculty members regarding fleet services charges, account chartstrings, etc. Prepares reports on departmental fleet/charges as requested by BM/DH.

Handles payment request (expense reports, supplier purchases, etc.) as well as deposits for unrestricted gifts and special projects for Athens, Griffin, and Tifton Faculty. Responsible for gathering sample receipts from Nematology Clinic; creating invoices and then billing clients (private, county extension offices, intra-University) through email or the OneSource (Journal Entry) System. Reconciliation of invoices paid/outstanding/follow-up with clients.

Departmental contact for hourly-biweekly payroll. Distributes necessary forms to supervisors/student employees. Processes paperwork to complete personnel documents and add employee to Kronos. On a bi-weekly basis, reviews timecards for missed punches, hour overages, and employee/supervisor approvals. Ensures account number charged for labor costs have adequate funding, makes corrections as needed. Processes/updates personnels for hourly, salary and monthly employees.

Serves as back-up for the BM in terms of budgetary decisions, HR issues, salaried-biweekly payroll processing and electronic approving of purchasing/payables. Provide support in the hiring process/new hires to include necessary paperwork, start-up fund tracking, and start-up fund expenditures/ordering. In the absence of Accountant, processes payables including purchase orders (UGAmart), Travel Authorization and Expenses, reimbursements, and other payables (Payment Requests).
