Position Summary

The Student Financial Services Information Systems Specialist is a key member of the SFS team and reports to the Senior Associate SFS Director. The Specialist plays an important role in the SFS team that demonstrates the values of teamwork, customer focus, continuous learning, applying technology, valuing diversity, big picture perspective, and openness to change and improvement. The SFS team delivers on a commitment to quality service for students and parents as they navigate the education financing process. The Specialist is responsible for the technical efficiency and data integrity aspects of the financial aid application process and for assisting students and parents throughout the cycle with counseling and application requirements.


Essential Functions

Serve as primary data processor for completing application requirements for all Middlebury financial aid applicant populations.

Ensure data integrity and efficiency with data transfers of ISIRs, Profiles, and IDOC into Banner.

Perform daily disbursements for grants and loans for all Middlebury student populations.

Track and process federal work-study.

Track and process outside aid.

Provide assistance to students and families for application requirements.

Communicate effectively both verbally and in writing.

Establish and maintain effective working relationships with faculty, staff, students, parents and the general public.

Works cooperatively with others and accepts direction from supervisors.

Run daily data downloads, consisting of ISIRs, CSS Profiles, and IDOC. Monitor suspense file for ISIR and CSS Profiles.

Run daily disbursements for federal and institutional grants and loans. Act as backup for MIIS disbursements. Send federal disbursement notifications for all populations.

Liaison with College Board and CPS in resolving any technical issues with the data downloads.

Perform testing for Banner upgrades and maintain or update variables and populations selection.

Run reports for tracking applications and maintain year-to-year data for analysis comparison.

Review applications and documentation, including personal and business income tax returns, and non-custodial parent waiver requests for accuracy and completed requirements. Contact students and parents for clarification and additional information.

Merge data with letter templates for aid notifications and email students through Banner process.

Respond to inquiries and counsel students and parents regarding aid application procedures.

Track pay in Banner for federal work-study students working off-campus; notify students and off campus agencies when students reach maximum funding.

Attend annual state conference to stay updated on new regulations and best practices.

Perform other duties as requested.



Bachelor’s Degree required

Knowledge, Skills and Abilities

Ability to use computer software is required, specifically Microsoft Office. Ellucian Banner database and Hyperion reporting experience preferred. Strong organizational skills required. Familiarity with College Board CSS Profile and US Department of Education systems preferred.

Must handle confidential information in a discreet manner. Must have ability to manage competing tasks successfully. Must have ability to maintain customer service orientation in fast-paced environment. Must be able to prioritize tasks.

A strong commitment to customer service for working with students and parents is required for the success of the Student Financial Services team effort. An understanding and drive to be of service is an essential trait of this position.


Three to five years of experience in a student financial services higher education setting
