Position Summary

The Special Programs Coordinator is primarily responsible for managing and directing the Alumni Admissions Program (AAP), the College Fair program, and other special recruitment programs.This position has primary responsibility for directing the AAP while establishing and maintaining communication with over 3,300 alumni volunteers. The position also coordinates over 500 college fair invitations. It contributes significantly to the College’s relationships with a number of important constituencies, as well as helping to identify, select and enroll an intellectually-committed, multi-talented and diverse student body. Accurate and timely communication with these constituencies is extremely important.

  • Write, publish, and distribute the AAP quarterly newsletter to all AAP volunteers.
  • Recruit alumni admissions volunteers for AAP and prepare and send support materials to members.
  • Provide leadership, coaching, support and information to AAP chairpersons assisting in the interviewing program that helps inform our admissions decision-making process.
  • Recruit and replace AAP volunteer chairs and maintain communication with them.
  • Work with National AAP chairs and AAP regional chairs to ensure timely submissions of interview reports.
  • Update the AAP handbook, support materials and publications.
  • Maintain the AAP website.
  • Create training materials for the AAP.
  • Maintain and manage databases for the AAP, and college fairs.
  • Coordinate and oversee college fair invitations, responses, and staff coverage throughout the school year.
  • Help coordinate campus visit programs such as Preview Days, and counselor visits.
  • Supervise student assistant who performs data entry of college fairs.
General Responsibilities

Qualifications

Education

Associate’s degree or equivalent required. Bachelor’s degree preferred.

Knowledge, Skills and Abilities
  • Ability to establish a professional and comfortable tone with a wide range of people
  • Ability to problem solve, establish and exceed deadlines, and resolve conflict
  • Ability to communicate effectively in both oral and written form
  • Ability to work successfully, both individually and as a member of a team
  • Skill in computer applications, including spreadsheet, word-processing software as well as customer relationship management database.
  • Ability to multi-task in a dynamic and fast-paced environment
  • Ability to establish and maintain a good rapport with staff, students and alumni.
  • Computer literacy to include MS Word, Excel, electronic mail, and database management.
  • Occasional evening or weekend work may be required for Admissions events.
Experience

Three years of related event experience.

Physical Demands

Position requires moderate physical effort to include standing for long periods of time and lifting items weighing up to 50lbs. Requires ability to work at a computer keyboard for extended periods of time.
