The Rice Annual Fund is a powerful source of current-use, unrestricted funding that enables students to pursue their greatest ambitions and reach their full potential. As part of the Rice Annual Fund Team, the Staff Assistant is the front-line contact person between the Annual Fund staff and Rice donors, staff, and alumni. The Staff Assistant provides overall administrative support for frontline fundraisers and works with the Department Coordinator to ensure support for the Rice Annual Fund team.

Education Required HS Diploma or equivalent Major/Discipline Substitution for Education Requirement

Experience may not be substituted for the education requirement.

Education Preferred

Associate’s degree or higher.

Experience Required 1 year Type of Experience

Office experience supporting multiple team members with a variety of general administrative tasks.

Substitution for Experience Requirement

May substitute additional related education, above and beyond what is required, on an equivalent year for year basis in lieu of the experience requirement.

Experience Preferred

Experience in non-profit/higher-education settings.

License/Certification Required License/Certification Preferred Skills Required

- Basic computer skills and demonstrated experience with office software and email applications
- Ability to follow through and complete assigned tasks
- Good organizational skills and attention to detail
- Good verbal and written communication skills
- Good customer service and interpersonal skills

Skills Preferred

- Strong web and email skills, adaptability to different software applications
- Experience with Millennium and/or Blackbaud CRM or other advancement system
- Experience with Adobe Acrobat, FileMaker Pro, and/or Concur

Internal / External Contacts

INTERNAL: Frequent personal, written, email and telephone contact with many offices within the university, including all offices within Development and Alumni Relations.

EXTERNAL: Frequent personal, written, email and telephone contact with external constituents, including donors, alumni, parents and volunteers.

Physical Demands

Ability to work in front of a computer up to eight hours a day, and ability to lift boxes up to 20 lbs.

Working Conditions

May be occasionally required to attend evening functions. May be required to work extended hours to complete projects or meet deadlines, typically at busiest times of year in December and/or June. Work area is an open office environment in close proximity to others, to share resources and information.

Job Duty Name ESSENTIAL FUNCTIONS Description of Job Duty

- Processes call reports for the alumni/donor database
- Manages calendars for internal and external meetings
- Greets visitors and routes them to appropriate individuals, answers phones, and serves as a resource on procedures and general inquiries
- Distributes routine communications such as memos, notices, emails, and letters
- Assists with data entry as well as management and maintenance of electronic documents.
- Collects data and produces periodic reports, and spreadsheets
- Makes copies, and monitors and orders office supplies
- Tracks facility and office equipment, such as keys, vehicles, and projectors, via logs, and schedules repairs as needed
- Reviews invoices for accuracy, and initiates purchase requisitions
- Arranges meetings and assists with routine conferences including scheduling rooms, managing equipment, ordering meals and assembling materials
- Makes travel arrangements and monitors expense reporting
- Creates and maintains files and filing systems
- May provide guidance to temporary and student employees on routine matters
- Performs other duties as assigned
