The successful applicant for this position will be passionate about education, have program and project management experiences, and a desire to collaborate with a dynamic group of faculty, staff, and trainees on a mission to improve child health through research and teaching.

The Department Fellowship Coordinator provides administrative, programmatic, and strategic support to multiple programs and constituencies in the department. In collaboration with the Department Fellowship Manager and Directors of Fellowship Education and Research, the Department Fellowship Coordinator assists in the development, implementation, and organization of programmatic curriculum, assessment, and evaluation processes and serves as subject matter experts for trainees, faculty, and staff.

Duties and responsibilities include, but are not limited to:

  • Manage the educational experience of trainees within pediatric subspecialty fellowship programs in the Department of Pediatrics. Serve as the key contact for the Department Fellowship Manager and Directors of Fellowship Education and Research on all matters related to the fellowship programs. Serve as a subject matter expert on best practices in fellowship education and recommend decisions to improve fellowship programs based on best practices and policy limitations.
  • Analyze current processes and procedures for fellowship administration and propose new systems and processes to reduce administrative burden and clarify expectations. Perform data collection, analysis, and reporting on the fellowship programs.
  • Ensure accurate collection and centralized reporting of data on assigned fellows and fellowship programs, as well as fellowship expenses. Partner with the Graduate Medical Education Office to ensure data quality and consistency in centralized systems.
  • Oversee assembly and dissemination of best practices and train coordinators in aspects of fellowship support and administration.
  • Research, identify, and recommend outreach opportunities for recruiting residents and fellows. Participate in recruitment events.
  • Collaborate with coordinators to support fellowship education, both programmatically and administratively.
  • Collaborate with faculty to understand fellow developmental needs, resolve any programmatic concerns, and design solutions. Interpret policy and guide faculty and staff on the appropriate next steps on sensitive and complex issues.
  • Serve as a department expert on ACGME policy and advise faculty/staff on ACGME policy relating to fellowship programs.

    Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.


  • Strong communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and management.
  • Advanced analysis and problem solving skills.
  • Advanced computer skills, including experience with Microsoft Office Suite.
  • Advanced customer service skills.
  • Relevant computer systems/technology experience.
  • Understanding of financial transactions.
  • Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.




  • Frequently sit, perform desk-based computer tasks.
  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.
