Job Title Secretary, part-time hourly Job Description

To provide receptionist/secretarial services in the Instruction office. Provide clerical support to the VP, Instruction, Director of Instructional Services, Program Support Supervisor and Program Assistant in the Instruction Office.

Under the direction from the Program Support Supervisor performs a variety of secretarial duties such as preparing typed documents from written draft, composing forms and letters, making travel arrangements, scheduling meetings and taking notes and transcribing minutes. Perform office support tasks such as answering telephones and office reception, filing, maintaining inventory of supplies, copying documents, and sorting and distributing mail.

Essential Duties Summary

•Answering telephones, receive and refer visitors including students, staff and/or the public, respond to inquiries regarding departmental procedures and services as they pertain to Centralia College and Instruction.
•Use computer/typewriter to produce letters, meeting notices and agendas, reports, schedules, test materials, student evaluations, and other documents from rough drafts, and/or notes, prepare agendas, take and transcribe meeting minutes.
•Use spreadsheet and data base software to maintain and monitor budget and fiscal records relating to Instruction accounts.
•Assist with the coordination of the faculty schedules and syllabi collection process, maintain, file, and record all necessary documentation.
•Help organize Instructional-hosting events, e.g. tenure reception, honors reception, VP’s fall luncheon, retirement receptions, and campus coffee.
•Maintain inventory and process order documents for hosting supplies through vendors, requests for Instructional hosting supplies for various areas on campus, track budget for supplies and food funds received from The Centralia College Fund accounts.
•Make any necessary travel arrangements including travel advances, hotel and airline reservations, conference registrations, compute and audit travel expenditures and complete travel vouchers for reimbursement.
•Order supplies needed for copy machine maintenance, assign individual user codes as appropriate and maintain database of codes, prepare monthly reports of usage and charges for each machine, report monthly meter readings to appropriate vendor.
•Assist with office coverage within the Instruction Office, screen and distribute mail, messages, records, and office supplies.
•Coordinate all rental agreements and payments for all off-campus facilities that Centralia College utilizes.
•Perform related duties as assigned.

Required Qualifications

High school graduation or equivalent and one year of office experience requiring keyboarding or typing.

    The Region

    Centralia College East

    Centralia College East (CCEast), located in Morton, represents Centralia College's dedication to meeting educational needs of the residents of central and eastern Lewis County. CCEast provides registration services, educational advising and tutoring, Running Start, career counseling, assistance with financial aid, adult literacy tutoring, GED, T.E.E.N. program for pregnant and parenting teens, placement testing (COMPASS), and online access to Centralia College's library resources. Some classes connect CCEast students to the main campus via interactive television. The CCEast Organization of Students offers additional activities for students.

    Garrett Heyns Education Center

    The Garrett Heyns Education Center (GHEC) is located within the Washington Corrections Center, a medium security correctional facility situated on a 455-acre site three miles north of the city of Shelton. The Corrections Center is located 50 miles north of Centralia College's main campus and houses approximately 1,600 inmates. Centralia College has participated in an interagency agreement with the Department of Corrections to provide educational services for offenders since 1975. GHEC is a branch campus of Centralia College.
