The Office of Programs & Special Events (P&SE) plans over 170 events per year and supports all departments within Development & Alumni Relations. P&SE also oversees all DAR events during Alumni Weekend, Family Weekend and Homecoming Weekend. Our events are located on campus, domestically and internationally.

Reporting to the Associate Director of Programs and Special Events, Development and Alumni Relations. Plan, organize, develop, administer and oversee cultivation and stewardship events for Development and Alumni Relations (DAR.) Implement logistics and opportunities as they relate to DAR events. Perform related duties as assigned by Associate Director.

Specific Responsibilities:

Work with key alumni volunteers and Development and Alumni Relations (DAR) staff as a planner of events including but not limited to Alumni Relations and Development cultivation and stewardship events, DAR staff events, Homecoming and Alumni Weekend. Plan, manage and execute all aspects of events; locating venues, research, vendors and bidding, budgets, contracts, volunteer management, staffing, student organizations, entertainment and legal affairs. Work with our highest levels of clients including University of Pennsylvania VIP’s, High End Donors, Trustees, Overseers, Board of Directors, Senior Management staff, the President’s office and Academy Members. Develop new opportunities for increased visibility and value to Programs and Special Events, Alumni Relations, Development and other various offices within the University. Act as a consultant to various other University of Pennsylvania departments within the Schools and Centers. Promote the highest levels of collaboration and teamwork within P&SE to follow along with the Executive Director’s goals of true partnerships and mentorships in the office.


Bachelor’s Degree required with at least one to three years of experience in special events planning and/or alumni relations; or the equivalent combination of education and experience. Strong knowledge of computer skills. Understanding of audio visual equipment. Excellent writing, communication and interpersonal skills required. Must be highly organized and self-initiated while working as a member of a team within a goal-oriented environment. Must be able to manage simultaneous projects. The abilities to work under pressure and meet deadlines are essential. Frequent weekend and evening work required. Frequent on and off campus travel events required. Valid driver’s license required. Ability to lift up to 50 pounds.
