Preferred Qualifications Position Summary

This is a highly visible position reporting directly to the Vice President for Research. This position will gather, organize and display various research performance data as requested by the Vice President for Research, draft reports for presentation to University officials, function as Office of Research expert on use of Academic Analytics, interact with Office of Research IT and Analytics group to mine data, as necessary, and perform other administrative tasks and responsibilities.

Knowledge, Skills, Abilities and/or Competencies

Excellent public relations and customer service skills; thorough knowledge of Microsoft Word, Excel and PowerPoint; experience utilizing Access or similar database; ability to use internet search engines for a variety of purposes, ability to learn new software tools as needed; excellent interpersonal skills; a can-do, team-player attitude.

Assist with external faculty awards & honors to include:
•Maintain and selectively update master External Awards & Honors database tor campus use.
•Review awards with upcoming deadlines for eligibility and award criteria.
•Draft and disseminate monthly announcements for upcoming awards, targeting to appropriate award-specific populations.
•Maintain and update Awards & Honors page on web site, adding new awards that fit specified criteria.
•Assist faculty nominees with application assembly and collection of nomination materials and facilitate final submissions.
•Maintain and update an accurate list of UGA faculty winners of external awards and honors.
•Support related Office of Faculty Affairs and individual college efforts as external awards and honors for faculty become a more important institutional priority.
•Provide lists/number of faculty that are members of the National Academies (NAS, NAE, NAM), AAAS Fellows, and American Academic of Arts and Sciences for the annual Strategic Plan Update.
•Create Award Kudos – announcements to congratulate and announce UGA winners of external awards.

Assist with limited submissions program:
•Using public databases and various online resources, including funding agency announcements, research upcoming grant opportunities that specify a limited number of proposals from any given institution (e.g. UGA) and prepare and disseminate announcements for faculty that include critical information such as eligibility, review criteria, etc.
•Collect proposals from faculty and assist with administering internal competitions to select those proposals that will represent UGA.
•Notify applicants of decision.
•Update the Limited Submissions database and pages on the UGA web site as opportunities and/or details change.
•Keep records of previous UGA internal competitions and selected applicants for future reference.
•Occasionally nominate/submit application materials for certain limited submissions (Moore Inventor Fellows, Pew Biomedical Scholars, SEC Faculty Travel Grants, Blavatnik Awards, ORAU programs, Searle Scholars, etc).
•Answer any availability questions any faculty may have. This involves reading RFAs, NOFOs, etc.
•Revamped the UGA Limited Submissions website to better describe the internal competition process
•Draft and disseminate weekly large grants announcements from OPE along with the limited submissions weekly listserv announcement.

Center/institute review:
•Assist with facilitating the five-year reviews of the 16 centers and institutes reporting to the Office of Research, as required for SACS accreditation.
•Maintain an annual schedule of reviews (3-4 per year), communicate instructions and information to center/institute directors and obtain self-studies.
•Establish communication between VPR, review teams, and unit directors. Keep reviews on schedule, organize meetings and materials, create records of yearly review cycles, ensure C&l review info on OAIE website is up-to-date.
•Assemble and submit review materials to OAIE at end of process.
•Schedule and administer review meetings (reserve meeting space, order lunches to be served, request payment for lunches.
•Draft and disseminate surveys to relevant audiences per review committees plans.
•Maintain list of previous reviewers and review details (deferrals, extensions, etc).

General office / administrative support:
•Process check/travel requests, work orders, e-tickets and other university-related transactions utilizing various systems and forms.
•Backup administrative support for VPR including, but not limited to, maintaining Outlook calendars for conference rooms in Coverdell Research Center by reviewing and responding to requests for room use, processing requests for building access and building key requests.
•Backup support for front desk operations including answering phones, greeting visitors, and sorting mail.
•Other duties and special projects as assigned.
•Process signature files and edit various documents for VPR.
•Maintain COVERDELL-NOTIFICATIONS listserv.
•Submit work orders for building maintenance.
•Various scheduling for VPR.

•With assistance, interpret, analyze, and present data for lay audiences.
•Draft reports for presentation to University officials such as the Provost.
•Function as Office of Research expert on use of Academic Analytics.
•Interact with Office of Research IT and Analytics group to mine data, as necessary.
•Maintain and provide technical support for UGA Research Faculty listerv as requested by VPR.
•Provide grant data from UGA’s Grant Portal for various queries from VPR. (FID Interaction map, info on funding, find co-investigators, etc).
•Run funding reports on various faculty for VPR.

Various Special Projects for VPR
•Administrate the collection and review of President’s Interdisciplinary Seed Grant NOIs and proposals.
•Provide administrative assistance for conferences and symposiums.
•Track and provide info for DoD University Day registration.
•Compile proposals and data for Laboratory Enhancement, including but not limited to creating spreadsheets and compiling reviews.
•Assist VPR with a potential visits to the NIH for junior faculty including distribution Provost’s memo, collecting applications, and answering inquiries regarding program.
•Coordinate with Office of Research IT and other administrators to compile expenditure data.
•Assist in the planning and execution of the annual Research Orientation conference.
