Job Summary: Under limited supervision, assists the department head or director in the day-to-day operations of a program. Oversees the program support, general office, administrative and secretarial duties with some variety and complexity. Typical duties may include overseeing some aspects of the program, acting as the main liaison to other offices within the University as well as external contacts, maintaining budget records, supervising other support staff and-or students, arranging meetings-itineraries-agendas, typing a variety of material, compiling data and preparing reports, and purchasing office and program supplies and materials.

Additional Department Summary: The Program Assistant supports University Lands and Real Estate Services in the management of all University-owned properties and provides assistance in real estate transactions. The position will be responsible for aggregating and ensuring all documents required for property closings are complete and accurate which may necessitate knowledge and experience with researching title and legal descriptions. Additional requirements include document preparation for real estate property management and Board of Trustee submittals including Consultant Agreements, Contracts, Vendor Purchase Orders, Commercial Leases, Insurance requirements, invoices and payments. This position entails electronic filing of all documents associated with an individual property and maintaining a tracking system throughout the process.

Required Department Minimum Qualifications: High school diploma or GED and three (3) years of experience in a real estate, title, or legal environment; OR Associate's degree and one (1) year of experience in a real estate, title, or legal environment; or a Bachelor’s degree. Must have U.S. driver's license, Must be at least 21 years of age at time of hire and have an acceptable Motor Vehicle Report as determined by the insurance carrier.

Skills and Knowledge: This position requires solid computer skills and a strong knowledge of scanning and document management. Must be highly proficient in MS Word, MS Outlook, Adobe PDF, MS Excel, and PowerPoint. The ideal candidate should be able to understand and assist in preparing closing documents, deeds, affidavits, agreements, and commercial leases. Excellent written, verbal and communication skills are necessary along with superior organization, ability to manage time and multitask effectively and display problem solving skills by developing new methods or approaches to complete work assignments. Must be able to work independently as well as in a team environment. Ability to direct incoming calls and maintain relationships with the public. Maintain property records and property information in computer databases for quick retrieval and analysis. Ability to manage and enter data in existing databases, spreadsheets, and generate required reports on demand. Knowledge of Concur and Secure Touchnet programs is preferred.

Preferred Qualifications: Associate or Bachelor's degree preferred but not required. Optional 5 years work experience in place of an Associates degree. Minimum 2 years experience in an office environment. Paralegal license or experience preferred. Real Estate closing or title work experience preferred.
