Purpose: To coordinate and manage all facets of the Off-Site Program and to ensure the academic and economic health of the College. To serve as the academic officer at the off-campus site, responsible to the Vice President of Academic Affairs and the President for providing leadership in the planning and development of academic programs, the development and implementation of academic policy, general administration, academic administration, academic resource allocation, faculty recruitment and development, supervision and evaluation of faculty, and assessment of the effectiveness of the instructional program. Working with the Office of Admissions in St. Augustine, serves as the supervisor of admissions activity at the off-site program to include the establishment and monitoring of goals relating to the growth of the program; to recommend the addition of programs in response to student interest; to ensure that admissions standards and procedures are maintained. To supervise the procedures relating to the Business Office including receipting of tuition and fees and the operations relating to state and federal Financial Aid programs. Reporting to the Dean are the Coordinator of Admissions and Records, the Coordinator(s) of the academic departments, the Financial Aid Officer and the Program Receptionist/Secretary.

Essential Functions:

General:

  • To develop and implement a vision for the Off-Site Program that achieves (but is not limited to) the integration of the Tallahassee Campus into the main campus, thus fulfilling Objective 1, Goal 5, Priority 1 of the Flagler College Strategic Plan 2025, Fearless About the Future. Works to execute and fulfill all relevant elements of the Flagler College Strategic Plan, 2025, Fearless About the Future.
  • Annually implements objectives to achieve and maintain critical success factors as identified by the President.
  • Develops and implements with staff participation an annual assessment, plan, and report.
  • Maintains appropriate communications with departments on the main campus for all areas of responsibility.
  • Conducts weekly or bi-weekly management meetings involving the Administrative staff and Department Chairpersons.
  • Ensures that duties, responsibilities, authority and accountability of all direct subordinates are defined and understood.
  • Serves as advocate to the College administration for the Tallahassee Campus.
  • Communicates department needs and priorities to the President, Cabinet and/or Dean of Academic Affairs.
  • Supervises the care and maintenance of all College equipment and supplies.
  • Serves as the College’s liaison with all academic departments on the community college campus and meets regularly with the community college’s Vice President for Academic Affairs.
  • Develops relationships within the Tallahassee community—specifically Tallahassee Community College and the Community Advisory Council--that promotes the Off-Site Program’s health.
  • Oversees the coordination and planning of commencement ceremonies, orientations, receptions, community forums, student and/or faculty activities, alumni events.

Academic:

  • Conducts faculty meetings and personal conferences to ensure that planning and evaluation are conducted on a regular basis: The Program Director should be directly consulted by members of the department or by other members of the faculty on all matters relating to the program, curriculum, equipment, personnel or activities of the department.
  • Hires new members of the faculty and ensures that proper documentation of academic and professional credentials is gathered and maintained in all faculty files.
  • Plans for and assists in conducting orientation of new members of the faculty: Orientation for all faculty should include, but is not limited to, assistance in syllabus construction and course design, overview of relevant academic policies and procedures, and periodic consultation and review during the semester.
  • Develops, implements and continuously improves a faculty mentoring program.
  • Provides academic advising to meet the needs of students that is in harmony with the College’s emphasis on the importance of student advising: During orientations and registrations, coordinates and oversees student orientation.
  • Assigns course loads and number of preparations for faculty in the departments with input from the Departmental Coordinator if applicable.
  • Ensures that department chairs verify that candidates for graduation have satisfied departmental requirements for graduation.
  • Monitors and controls academic expenditures to stay within approved budgetary allocations.
  • Functions as Coordinator of Academic Departments in the absence of other personnel to fulfill that role.
Admissions

  • Directs the recruitment function of the off-campus site and supervises the activity of the Admissions office.
  • Develops and assigns goals in conjunction with Coordinator of Admissions.
  • Coordinates recruitment materials and procedures with the Community College Office of Student Affairs and Enrollment Services.
  • Supervises the running of admissions reports and ensures that all reports are produced and distributed to applicable departments within the main campus.

Registrar
  • Develops the master semester calendar ensuring that all dates coincide with both the main campus policies as well as the scheduled start dates, closing dates and other pertinent dates of the community college.
  • Develops the class schedules, faculty assignments and room assignments for the fall, spring and summer semesters.
  • Develops schedules for individual students, distributes schedules and makes revisions as necessary.
  • Assigns classrooms in conjunction with appropriate community college personnel, develops and distributes a classroom usage chart to community college department heads.
  • Supervises the tracking of student coursework to ensure that ample space in required courses exists and that students meet course requirements for graduation.

Coordinator of Career Services:

  • Works with the Director of the Career Development Center in St. Augustine to continually improve the work of Career Services at the Off-Site campus.
  • Ensures receipt of a final draft resume from all prospective graduates and forwards resume to main campus for critique.
  • Ensures that all prospective graduates return a final resume to the Administrative office prior to graduation clearance.
  • Serves as liaison between prospective employers and students in relaying job opportunities and necessary qualifications.

Coordinator of Services for Students with Disabilities:

  • Works with the Director of the Disability Resource Center in St. Augustine to continually improve the services provided to students with disabilities.
  • Insures the provision of appropriate accommodations for students with disabilities at the Tallahassee Off-Site Program.

Qualifications Qualifications:

  • Terminal degree preferred
  • Seven years related experience in higher education
  • Five years administrative and managerial experience in higher education
