Job Details

The Administrative Associate Dean has primary responsibilities for budgets, facilities, compliance, oversight of staff, and duties as a liaison on committees and through direct contact with a variety of university offices. The Administrative Associate Dean is a continuing, non-faculty, exempt administrative staff position. He/she works directly with the Dean of the College, an Academic Associate Dean, and three administrative assistants.

Washington and Lee is a highly selec­tive liberal arts university with approximately 1,800 undergraduate students located in the scenic Shenandoah Valley of Virginia. STATUS:   Full-time, 12 Month, With Benefits
WORK HOURS:   8:30-4:30 Monday - Friday with occasional evening, weekend and travel requirements
FLSA:  Exempt
MINIMUM PAY: $98,646 / year. Salary commensurate with experience.

Essential and Related Functions:

  • Leads the drafting of annual operating and capital budget requests and monitors compliance with those budgets over the course of the fiscal year. Oversees College discretionary budgets, including faculty conference travel funds. Assists the Dean of the College in setting staff salaries and tracking faculty salary budget. Supports faculty department and program chairs with managing their budgets.
  • Plans and manages space use in the College in collaboration with Facilities and the University Registrar. Serves on the Provost's Learning Spaces Committee and the Registration and Class Schedules Committee.
  • Oversees compliance regarding contracts, visas, and safety, in collaboration with the Office of the General Counsel, International Education, and the Director of Environmental Health and Safety, and serves on the Safety Committee.
  • Provides guidance and oversight to Dean of the College office staff. Assists College managers on HR-related issues and provides support as well as professional development guidance to non-exempt College staff.
  • Serves as a liaison with the Provost's Office, ITS, Facilities, the University Registrar, Public Safety, and Development.
  • Other related duties as assigned.

Required Competencies:

Makes departmental goals and priorities clear to team and explains relevance to each person's job. Collects and assesses information on multiple and relevant factors to develop policies and make critical strategic decisions. Demonstrates a clear understanding of detailed financial factors that drive departmental budget (e.g., position requests, hidden costs, impact on morale) when considering decisions.
  • Change Adaptability - Understands the effects of change on the work group and proactively clarifies information to help them deal with a changing work environment. Identifies structural process, people changes and solutions to achieve change initiative goals and targets. Encourages new ways of looking at established processes and practices by soliciting ideas and recognizing/rewarding practical innovation.
  • Communication and Networking - Uses diversified styles of communication (e.g., explains by describing impact or circumstances, etc.) to influence and create buy-in for ideas. Encourages open expression and common understanding of ideas and opinions. Builds networks within and outside own department and leverages these relationships to execute specific plans and initiatives.
  • Drive for Results - Actively supports the continuous improvement of policies to reduce inefficiencies and better achieve goals. Respectfully holds people accountable for ensuring quality of their work and minimal errors. Strives to achieve challenging goals and works through obstacles.
  • Self Development and Motivating Others - Establishes and maintains trust and credibility within and outside of work group by demonstrating fairness and equity in interactions. Encourages different points of view and is respectful when differing views are expressed. Gives credit and recognition to others who have contributed to the achievement of common goals. Seeks learning opportunities to keep abreast of new developments and standards and applies knowledge in own area of expertise.

Qualifications

A Bachelor's degree is required and an advanced degree is preferred with 5-7 years of administrative and project management experience in a higher education setting or a combination of education and experience from which a similar skill set would be obtained. Must have significant experience managing budgets; excellent oral, written communication, and analytical skills; strong understanding of higher education policy and procedures; commitment to confidentiality. Experience as a faculty member would be a plus.

Physical Requirements:

  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.
  • Grasping: Applying pressure to an object with the fingers and palm.
  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.
  • Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
  • Standing: Remaining upright on the feet, particularly for sustained periods of time.

Working Conditions:

The worker is not substantially exposed to adverse environmental conditions (as in typical office or administrative work).

Types of Work:

Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
