Clark University’s Mosakowski Institute seeks to fill the position of Assistant to the Director. The successful candidate will provide primary support to the Director of the Mosakowski Institute. These duties will include, but are not limited to, budgeting, scheduling, event planning and execution, time-management, internal and external communications, support for Institute researchers, website maintenance, grant submissions and fund-raising, supporting the Institute’s advisory committee and project management. The Assistant to the Director has primary responsibility for maintenance of Institute space and equipment.

Duties and Responsibilities include:

  • Manage and Schedule the Director’s meetings; communicate information to  internal and external audiences
  • Manage and maintain the Institute’s budget, including executing and tracking all expenditures and reconciling financial statements
  • Oversee the preparation of materials for grants, contracts and budgets.
  • Maintain the Institute’s website and other communications platforms
  • Plan and execute all aspects of the Institute events except overall strategy and intellectual content
  • Determine administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences
  • Maintain the Institute’s office supplies, equipment, etc.
  • Oversee and coordinate administrative, program, and office activities; establish, select, implement, and coordinate office procedures and systems
  • Serve as principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities
  • Oversee, instruct, and coordinate activities of support staff
  • Provides editorial support for journal(s)/publication(s)
  • Proofread and edit material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work
  • Greet visitors. Answer and screen telephone calls. Assess nature of business. Responds to requests for information and provides assistance; screen and respond to mail
  • Format, proofread, and edit correspondence, reports, manuscripts, grants, and other material; Assemble attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures
  • Compose substantive correspondence and written material
  • Coordinate travel arrangements
  • Schedules and coordinates meetings and appointments
  • Takes minutes
  • Perform additional functions incidental to office activities

Qualifications

  • Bachelor’s degree or equivalent, preferred.
  • 3-5 years’ administrative experience in similar or related work
  • Excellent oral and written communication skills
  • High level of initiative, exceptional organizational skills, and the ability to adapt to a dynamic and fast paced environment 
  • Working knowledge of business, accounting or commercial procedures with detailed knowledge in these areas
  • Excellent computer skills, including Microsoft Office and facility with Clark’s accounting systems
  • Strong basic mathematical skills to manage office budgets
  • Experience with website maintenance and familiarity with social media platforms including YouTube, twitter, snapchat, Facebook, etc., preferred
  • Must be able to work independently to meet multiple time-sensitive deadlines 
  • Prior experience working with and contributing to a diverse workplace with the ability to interact effectively with a broad range of constituents on campus
  • Occasional work during evening and weekend hours

This is a full-time, 40 hours per week, 12 month position with excellent benefits, which include employee and family tuition benefits, 4 weeks’ vacation, generous retirement plan, free use of campus fitness center and many more.
