Job Description:

The Mills College Lesson Study Group, within the School of Education, studies and supports the adaptation of Lesson Study to U.S. Schools. Lesson Study is the major form of on-the-job learning by teachers in Japan, and involves collaborative design and observation of actual classroom lessons. Since 1999, the Lesson Study Groups research team has conducted studies on lesson study in U.S. settings, including schools, districts and pre-service education. Our research and program activities are dedicated to improving U.S. schools. Support for the research comes from both federal and private agencies. The Lesson Study Group will also be hosting and managing the World Association of Lesson Studys Annual Conference (WALS) in San Francisco in December 2020.

Representative Duties

The Administrative Assistant/Event Coordinator will work with the Senior Research Associate to provide a high level of administrative support and office management for the Lesson Study Group. Typical duties include but are not limited to the following:

  • Provide general administrative support for the group: participate in group meetings, help finalize/edit documents, handle project correspondence and communication, conduct literature/article searches, manage logistical details for special projects, book travel and perform other duties as required.
  • Coordinate, monitor and provide logistical support for WALS 2020 Annual Conference.
  • Function as office coordinator: order supplies as needed, manage project calendars and meetings, sort and distribute mail, screen and direct emails (and phone calls periodically), provide basic computer, filing and office support for project staff.
  • Maintain projects web-pages using Word Press.
  • Handle sales, invoicing, mailing and inventory of the projects published materials.
  • Finalize/submit reimbursement forms for staff travel and purchases; prepare work contracts as needed.
  • Conduct ongoing development and refinement of projects databases and tracking systems.
  • Assist with reports, bulletins, grant proposals, and other written material as needed.
  • Act as the projects safety coordinator, maintaining safe work practices within each area of responsibility, enforcing safety rules, and assuring employee compliance with all safety rules and guidelines.
  • Supervise student workers.

    Requirements:

    Knowledge and Skills:

  • Excellent judgment, discretion, and attention to detail.
  • Highly organized and able to create, track, monitor and organize systems.
  • Macintosh computer proficiency including Word, Excel, PowerPoint, Filemaker Pro, and Endnote.
  • Knowledge of Word Press.
  • Ability to prioritize tasks, balance multiple demands, handle frequent interruptions and pressure, work independently and exercise appropriate initiative.
  • Ability to:
  • Exhibit strong customer service orientation for all levels of College constituencies and members of the public.
  • Take appropriate steps to promote and sustain effective working relationships within a diverse multicultural environment.
  • Work safely in compliance with College Injury and Illness Prevention Plan.

    Education and Experience:

  • Any combination of education and experience equivalent to college level coursework and two years increasingly responsible office support involving public contact.
  • Interest and background in K-12 education highly desirable.
  • Motivated self-starter with developed organizational, written communication, and interpersonal skills.

    Additional Information:

    This is a full-time, non-exempt] position with an FTE of 1.0. Salary is commensurate with experience, and includes an excellent benefits package including medical/dental/vision/life/LTD insurance, 403(b) retirement plan with college-matching after 6 month qualifying period, 10 days of vacation for year one, 15 days of vacation for years 2-10, and 22 days of vacation years 10+ plus, 12 sick days and 17 paid holidays (subject to annual review). Staff members also receive free admission to campus events, use of the pool, fitness center, and tennis courts. Tuition remission is also available after an introductory period.
