About the PositionThe Athletics Business Coordinator independently oversees fiscal activity and has purchasing authority for the department with responsibility for accurately administering California State University, San Jose State University and NCAA rules and regulations. The potential impact of mistakes is significant and can impact team eligibility for competitions and could result in NCAA sanctions.

Responsibilities include but are not limited to the following:

-Track and verify the accuracy of expenses, identify errors and work with the designated areas to resolve and correct erroneous charges by preparing expenditure transfers. Ensure travel purchase orders are within established amounts; adjust purchase order values as needed to align with actual expenses.
-Project annual team travel budgets, review actual monthly expenses against projections. Ensure designated teams/departments comply with established campus, CSU, and NCAA policies and procedures for competition, training and recruiting related travel requirements.
-Prepare and submit reimbursement and payment documents including travel claims, direct pay requests in accordance with University and/or Tower policies and procedures.
-Work with coaches and administrators to identify cost-effective strategies to meet teams¿ student-athlete recruiting needs.
-Review on a monthly basis the actual expenses against budget allocations and PO balances, amend POs up or down to match expenses. Monitor open purchase orders, ensure encumbrances are adjusted to reflect actual pending invoices for fiscal year end.
-Analyze and evaluate various funding sources. Work with Assistant Athletic Director to determine the best funding sources for meeting operational needs based on available and budgeted resources as well as appropriate use of funds taking into account Tower policy and procedure as well as NCAA regulations.
Minimum Qualifications-Bachelor's degree and/or equivalent training
-Two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications-Bachelor's degree in business or public administration from an accredited 4-year college or university
-One or more years of experience preparing and/or administering budget projections and reconciling program revenues and expenses at a college or university
-Demonstrated understanding of NCAA policies and practices related to the financial administration of Division I Intercollegiate Athletics programs
-One or more years¿ experience working in intercollegiate athletics at a four-year college or university
-Demonstrated understanding of the special situations and requirements that often arise in an Intercollegiate Athletics program and the ability to respond with the appropriate sense of urgency
-One or more years' experience using Common Financial System (CFS), Financial Transaction Services (FTS) and Financial Data Warehouse
Knowledge, Skills & Abilities-Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
-Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
-Working knowledge of operational and fiscal analysis and techniques.
-Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
-Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
-Working knowledge of budget policies and procedures.
-Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
-Ability to train others on new skills and procedures and provide work lead direction.
-Ability to be available on-call after regular business hours, weekends, and/or holidays.
