Perform, coordinate and oversee office administrative duties of the President’s Office while providing an extensive level of support to the President of East Georgia State College.

Major Duties

•Oversees all facets of the daily operations of the President’s Office and serves as gatekeeper to the President’s Calendar and manager of workflow, with special attention to assisting the President in setting daily, weekly and annual priorities.
•Acts as a liaison between the Office of the President and faculty, staff, students, community, legislators, Board of Regents, University System of Georgia personnel, East Georgia State College Foundation trustees, SACSCOC, and other University System of Georgia institutions in communications as well as scheduling external meetings.
•Assists the President in his role as Chair of the USG General Education Council
oLiaison between the President and the USG Assistant Vice Chancellor for Transitional and General Education and General Education Council members

•Ensures that all meetings scheduled with the President have agendas and supporting materials.
•Assists the President in the preparation of Cabinet and Senior Staff agendas and posts to webpage.
•Prepares minutes following President’s Cabinet meetings and posts to webpage.
•Prepares and/or contributes to the preparation of reports, briefings, presentations and responses on institutional and strategic issues, as appropriate in combination with the Legal Counsel/Chief of Staff.
•Maintains an understanding of the educational programs and operational functions of the College and appropriately implements College policies, procedures and guidelines.
•Coordinates special projects of the President with the President’s Cabinet and Senior Staff.
•Participates with the President, President’s Cabinet and Senior Staff in institutional planning, policy development and problem resolution.
•Works with the Legal Counsel/Chief of Staff in maintaining the President’s Office website.
•Supervises the Administrative Assistant to the President in:
oMaintaining the President’s daily calendar; scheduling appointments; coordinating and scheduling meetings; assisting in planning and hosting special events.
oAnswering telephone and greeting visitors; providing information; making appointments.
oReceiving and scanning communication to the President.
oPlanning, coordinating and assisting with meetings, conferences and special events.
oCreating and modifying documents and forms.
oCoordinating travel arrangements, including registration for meetings and conferences.
oOrdering equipment and supplies.
•Coordinates with the College’s Event Planner in planning and hosting special events hosted by the President and the College.
•Oversees the process of hiring and managing student workers.
•Organizes and updates department files; produces and maintains minutes of various council and board meetings.
•Performs related duties as assigned by the President.

•Knowledge and understanding of the College’s organization, goals and objectives, policies and procedures.
•Knowledge of Board of Regents structure and policies.
•Ability to work cooperatively and strategically in a team environment with all levels of faculty and staff is necessary.

Supervisory Controls

The President assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy and the nature and propriety of the final results.

Guidelines

Guidelines include college policies and procedures and supervisory instructions. These guidelines require judgment, selection and interpretation in application.

Complexity/Scope of Work

•The work consists of varied management and supervisor duties. The variety of tasks to be performed contributes to the complexity of the position.
•The purpose of this position is to provide administrative support to the Office of the President. Success in this position contributes to the efficiency and effectiveness of office operations.

•Contacts are typically with co-workers, other college personnel, faculty, staff, students, vendors, elected and appointed officials, contractors, representatives of other colleges and universities, alumni, business and community leaders, and members of the general public.

Physical Demands

•The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light objects.

Supervisory and Management Responsibility

•The position supervises the Administrative Assistant as well as student workers for the President’s Office.

Minimum Qualifications

•Knowledge and level of competency commonly associated with the completion of a baccalaureate degree in a course of study related to the occupational field.
•Sufficient experience to understand the basic principles relevant to the major duties of the position usually associated with the completion of an apprenticeship/internship or having had a similar position for three or more years.
•Possession of or ability to readily obtain a valid driver’s license issued by the State of Georgia for the type of vehicle or equipment operated.

      East Georgia College, one of the fastest-growing two-year institutions in the University System of Georgia, is located in the friendly city of Swainsboro. Considered the access and opportunity hub of east-central Georgia, East Georgia College (EGC) is large enough to provide distinguished educational and cultural experiences for students and the surrounding communities.       East Georgia College offers educational value at an affordable cost with 23 associate of arts degrees designed for easy transfer to four-year institutions. EGC also offers cooperative associate of applied science degree programs, as well as an associate of science in nursing degree in cooperation with Darton College. The college also has an instructional site in Statesboro at 1525-A Fair Road.       East Georgia College offers online degrees in general studies, psychology, and sociology.       Approximately 2,000 traditional and non-traditional students attend East Georgia College, which serves a rural, 18-county region with a predominately agricultural and manufacturing economy. Chartered in 1973, the campus spreads over 227 majestic pine-covered acres in Emanuel County and features a unique blend of nine modern buildings in a beautifully landscaped setting. Between classes, after business hours, and on weekends, students, faculty, and staff enjoy the scenic lake, series of nature trails, fitness center, gymnasium, lighted tennis courts, volleyball courts, and an 18-hole disc golf course. Emanuel County is just 16 miles from Interstate 16 and is conveniently located halfway between Savannah and Macon.

      The college has a strong community service orientation, offering facilities for community meetings, industrial workshops, training sessions, regional Science Olympiad competitions, basketball, wrestling, and tennis tournaments, science camps, annual regional seminars, arts festivals, and area garden club flower shows. East Georgia College will host the Georgia state intercollegiate disc golf championship in the fall of 2008. The Intercollegiate Disc Golf Union of America sanctions the tournament. The Georgia Rural Economic Development Center, located on the EGC campus, provides unique public/private partnerships and development assistance to a surrounding 21-county region. All Vision Series lectures and concerts are free and open to the public.

      Dedicated to creating a more educated Georgia, East Georgia College provides valuable services through K-12 outreach programs designed to increase academic preparedness. Programs include the Dr. Seuss birthday program for primary school students; Tutoring for primary and middle school students; Campus visitation for 7th graders; PREP Summer Camp for 7th, 8th, and 9th graders; 2nd Grade Exploration, a half-day visitation program that brings 2nd-grade students to campus for a series of educational activities taught by college faculty and assisted by EGC students. All students receive a t-shirt and an EGC coloring book that reinforces the science, history, art and boomerang lessons; EGC Math Initiative, an evaluation of math skills and college math readiness for 11th graders; Ropes Course, a teambuilding and leadership initiative program for 4th – 12th graders; EGC Student Mentoring Program that allows EGC students to work afternoons at the Emanuel County Recreation Department as mentors to middle school at-risk youth; Directions, a collaborative project between area schools and agencies targeted at rising 9th graders and their parents designed to address local dropout rates and the availability of a skilled workforce within Emanuel County {this initiative won the 2006 Andy Olsen Award for Excellence in School Public Relations from the Georgia School Public Relations Association (GSPRA)}; Celebration of Education, a collaborative event sponsored by EGC and Swainsboro Technical College featuring an essay contest and scholarship to promote awareness and the importance of a post-secondary education among students within a 5-county area; Math/Science Partnership Grant, a collaboration among EGC, Georgia Tech, and area school systems to fund educator training on the new Georgia Performance Standards for Math and Science in grade bands of 6 to 8 and 9 to 12; and the Robotics/Science Initiative, a program to excite and challenge middle school students in robotics and other areas of science by touring Georgia Tech's science facilities and other scientific and educational locations.
