DESCRIPTION

Led by the Director of Admissions, the Office of Admissions is housed in a multi-unit Enrollment Management (EM) department within Academic Affairs, under the direction of the Associate Vice Chancellor (AVC) Enrollment Management. EM is comprised of seven high-profile, core functional units including: the Office of Admissions, the Office of the Registrar, Financial Aid & Scholarships Office, Enrollment Management Technology Services (EMTS), Creative & Analytical Services, Cal-SOAP, Parent & Family Programs; plus the Business Office. EM’s core functions oversee undergraduate admissions, continuing student enrollment management, and financial aid and scholarship management.

The Office of Admissions leads the university's efforts to identify, recruit, admit, and enroll the next generation of UC San Diego Tritons with focus on talented, academically capable, California students, representative of the diversity of the people of California.

The mission of the office includes increasing the visibility of UC San Diego in California, the nation and world, through marketing and on- and off- campus recruitment activities to prospective freshmen and transfer students and their families; school counselors; community college leaders and advisors; community based organizations; and educational organizations serving groups historically underrepresented on our campus. The Office of Admissions hosts more than 80,000 visitors and receives, processes, and reviews over 116,000 applications for admission annually. The office works collaboratively with on-and off- campus partners to achieve university goals.

The Admissions Officer (AO) works in a fast-paced, deadline-driven, high-demand office, which receives in excess of 106,000 applications annually and is engaged in a highly selective admissions process each year. The AO is responsible for outreach, recruitment, reviewing freshmen and transfer applications, admitted student yield, relations with schools and community and family outreach.

The position requires professionalism, skills in presenting information, attention to detail, the ability to collaborate - working in teams, and flexibility. Under the general supervision of the Admissions Leadership Team, the AO identifies potential students, and provides information on a variety of admissions-related issues to the general public including, but not limited to: prospective applicants, parents, counselors, community-based organizations, faculty and campus colleagues.

The AO fosters and maintains good working relationships with the public and institutions and organizations involved in outreach recruitment, as well as serves as a resource to the external community, such as high school and community college counselors, representatives from other universities and UC San Diego advisors and administrators.

Admission Officers independently review and/or evaluate, domestic and international applications, for admission at both the freshman and transfer level. The AO uses professional judgment and a comprehensive knowledge of educational processes, including acceptance of transfer coursework from domestic institutions and international educational systems, in determining whether applicants meet requirements for admission.

The AO is expected to perform with a high level of professionalism as a representative of UC San Diego and the University of California among many constituencies, often times conveying complicated and/or sensitive information. The AO serves as a resource to the staff in Admissions and the campus community for issues related to admission to the University.

QUALIFICATIONS
  • Thorough knowledge and experience working with a diverse student population. Ability to interact effectively with diverse group of prospective students and families, counselors, administrators, the public and campus community including multicultural and non-traditional populations.

  • Demonstrated experience in implementing programs and workshops with high schools and community colleges for recruitment and yield purposes.

  • Knowledge of admission-related technology including CRM (Customer Relationship Management) systems. Efficiency in utilizing technology and data to effectively execute the responsibilities of an Admissions Officer, from outreach and recruitment to application review, evaluation and yield.

  • Thorough and comprehensive knowledge of academic programs, including curricula, admissions requirements, and financial aid programs, at colleges/universities and specifically at UC, and/or specific colleges and schools. Familiarity with educational trends, common and best practices at post secondary higher education institutions across the nation.

  • Ability to develop recruitment programs, and design effective materials. Ability to independently organize and implement informational programs for students and parents, counselors, community-based organizations, and the general public.

  • Ability to interpret and communicate University policies and procedures to prospective students and the public. Ability to interpret broadly written faculty guidelines and use independent judgment in making admission decisions. Aptitude to remain abreast of changes to policy, procedures and adjust to changes as required.

  • Strong analytical, critical thinking and problem solving skills. Accurate computational skills and ability to interpret and implement policies and procedures when resolving issues. Capacity to be precise and pay close attention to detail including ability to review records and develop itineraries, schedules and plan recruitment activities and programs.

  • Ability to conduct independent and unsupervised individual evaluations and assessments (domestic and international), and provide admissions counseling for prospective students, admitted and denied applicants, current UCSD undergraduates, high school and community college counselors, college advisors and directors of advising, military recruiters and others.

  • Detailed knowledge of complex and broadly written guidelines governing evaluation, admission and deferral of freshman and transfer applicants, both domestic and international. Ability to interpret broadly written guidelines and use independent judgment in making admission decisions.

  • Advanced verbal and written communication skills. Ability to be an active listener and provide excellent constituent/customer service in all interactions - in person, on phone and electronically, demonstrating professionalism at all times.

  • Proficiency using a personal computer including the use of the Microsoft Office Suite (Work, Excel, PowerPoint). Knowledge of email systems as a primary form of communication; accomplished skill at navigating the internet for information retrieval.

  • Strong ability to conduct professional presentations before large and small groups, representing the University and the Office of Admissions. Ability to establish and maintain cooperative relationships with schools, universities, community organizations, and other institutions.

  • Ability to assess workload, organize and prioritize work to meet multiple deadlines with efficiency and accuracy in a fast paced environment with changing demands and minimal supervision. Ability to maintain confidentiality, discretion and exercise good judgment in handling sensitive and confidential matters.
