As an integral member of the Undergraduate Admission Office, this position provides administrative support and customer service for the over 30,000 visitors who visit William & Mary annually. The position serves as a “hub” for both internal and external communication with prospective students, student volunteers and general department inquiries.
Responsibilities include (but are not limited to):

  • Provide a positive “frontline” to the public for William & Mary and the Undergraduate Admission Office
  • Counsel students and families on the admission process, policies and requirements
  • Handle daily flow and function of the reception area. Maintain daily office schedule, including interviews, group sessions, tours and session locations. Manage and maintain the upkeep of a welcoming lobby and session room
  • Recruit, train, and supervise students to answer telephone inquiries and support the Undergraduate Admission Office staff
  • Report to and provide feedback to the Director of On-Campus Programming regarding campus visit concerns and areas for improvement concerning the visitor experience and flow as well as general observations of all student workers in the Admission Office
  • Provide support to the department as an office manager as well as monitor and provide support for the building needs, as necessary
Required Qualifications
  • High School Diploma or equivalent
  • Demonstrates excellent interpersonal, customer service, and communications skills (oral and written) with the ability to work effectively with a diverse constituency and collaboratively as a team member
  • General knowledge of the college admission process and/or higher education
  • Experience with campus visits or similar visitor experiences
  • General knowledge of office practices, protocol, and customer-service etiquette
  • Familiarity with Microsoft Word, Excel, and Outlook, and/or other common office software and systems
  • Demonstrates a strong ability to work independently and execute good judgment using tact and diplomacy in all interactions
  • Demonstrates strong organizational skills with the ability to independently manage multiple and competing tasks within specific deadlines
Preferred Qualifications
  • Bachelor’s Degree
  • Experience with a CRM (customer relationship management tool)
  • Experience supervising volunteers and/or past experience serving in a leadership capacity within student or volunteer organizations
  • Experience assisting with event planning and coordination, along with the ability to monitor visitor flow and logistics for large groups while providing the highest level of service
  • Strong knowledge of William & Mary and/or Williamsburg either as a student, an employee, or a resident
  • Experience working in a customer service, college, or secondary school environment

Conditions of Employment:
  • Physical tasks may be required with regularity while maintaining the lobby area and managing the preparation for our visit and event days.
  • Periodic evening and weekend work will be required.
  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
