Position Information

Position Title Admin Secretary Job Search Identifier Staff Proposed Salary $23,922.00 General Summary of Responsibilities

Clerical work performing a variety of general office tasks to include handling cash, check, and credit card transactions, routine bookkeeping; preparing purchase orders and check requests; generating standard contracts for signature; preparing annual and periodic reports; serving as receptionist for the Theatre and Dance Programs and Peach State Summer Theatre; supervising student assistants, maintaining schedules; operating various office machines; organizing and supervising audition applications; Assisting with onboarding procedures for PSST and Theatre and Dance; assisting as needed with ticket processing for productions; and other related duties as assigned.

Required Qualifications

Completion of High School Diploma/GED.

1 Year of experience.

Credit check.

Compliance Requirements

Position Requires completion of VSU’s Annual Compliance Training course (such as State Business Transactions, Drug Free Workplace, Anti-Harassment Policy, Introduction to Information Security, Workers Compensation, Motor Vehicle Policy, USG Ethics Policy, Conflict of Interest/ Outside Activities Policy, Leave Procedures for Faculty and Staff, Georgia Open Records Act, Family Educational Rights and Privacy Act (FERPA), and Contracts 101. Supervisory positions require training in FMLA and Worker’s Compensation.

Position Requires a Criminal Background Check.

Position May Require Credit Check (if using P-Card, working with Cash, etc.).

Job Duty

Financial Processes – Prepare financial paperwork for the Theatre and Dance programs and Peach State Summer Theatre. Activities include processing payments; preparing contracts and payroll; depositing box office receipts; coordinating purchases for theatre and dance productions.

Percentage Of Time 25 Essential Duties of the Position

Job Duty

Office Routines – Open, date stamp, and distribute mail; deliver documents and packages to campus offices; maintain an inventory of office supplies ordering as needed; Coordinate facility schedules; maintain schedules for Artistic Director and Peach State Director; maintain office records and filing systems.

Job Duty

Customer Relations – Answer and direct phone calls; answer basic questions related to Theatre and Dance Programs and Peach State Summer Theatre; assist with current and future student and auditioner inquiries; assist in greeting visitors, ascertain nature of the business and direct appropriately.

Percentage Of Time 15 Essential Duties of the Position

Job Duty

Correspondence – Prepares correspondence for students and other offices by composing routine letters and memorandum; prepare recruiting packets and audition materials; coordinate bulk mailings.

Job Duty

Special Projects – Assist faculty with special projects including coordination of admission, scholarship, and Peach State, Theatre, and Dance auditions; coordinate juries; coordinate course, program, and student assessment.
