Preferred Qualifications Position SummaryTo serve as Grants Coordinator at the Odum School of Ecology
Knowledge, Skills, Abilities and/or CompetenciesExperience in the area of research support assisting PIs with post-award management; some pre-award proposal development experience. Familiarity with grant related terminology, procedures, processes and UGA’s portal system. Proficient with Microsoft Office.
Physical DemandsSitting and/or standing for extended periods of time. Primarily seated at computer for majority of time.

Duties/Responsibilities Duties/ResponsibilitiesPost-award:
o Verify grant budgets are set up correctly by SPA, including IDC
- Review established grants for same purpose until review is complete
- Create and maintain system for project reviews/internal audits
o Retain original grant documents, invoices, modifications, communications with SPA, PIs, etc. in appropriate files; maintain files
o Audit spending on grants, including CASB exceptions, confirming allowable costs and provide advice to grant holder and Administrative staff on such things
o Process invoices, POs, payment requests and non-employee reimbursements
o Prepare summary pages for Ecology files
o Assist with carryforward requests, no-cost extensions, NIH caps, re-budgeting and other modifications, as needed
o Serve as liaison with SPA and those applying for grant funds (i.e., faculty, students, postdocs, etc.)
o Develop and maintain tracking system for cost share on established and new grants including joint budgets/grants
o Develop and maintain tracking system for summer salary on established and new grants including joint budgets/grants
o Calculate monthly IDC returns from grants
o Email reports to PIs
o Upon close out email notification from SPA, communicate with PI to determine if a no-cost extension is required, more funds are due, etc; if spending down, work with PI on what is allowed and provide advice on time frame
Pre-award:
o As needed, may be asked to review budget and budget justification on newly submitted proposals
- Make recommendations to proposal applicant regarding equipment, salary, repairs, travels, etc.
