Position Information Classification Title Business Operations Professional Pay Grade FLSA Job Family Business And Finance FTE 1.0 Minimum Qualifications Preferred Qualifications Position SummaryThe business manager is housed in the State Services Unit in Atlanta and reports to the Office of Administration. This is a professional position expected to perform assigned duties, responsibilities and tasks with a high degree of independence and exceptional proficiency. While some oversight may be necessary by the Office of Adminstration’s administrative manager and associate director as well as the State Services’ Unit manager, the business manager should require limited direct supervision and is to be knowledgeable, well-trained and highly competent meeting the administrative needs of the organization and units therein, as well as being a ready resource for public service faculty in the assigned areas of responsibility.
Knowledge, Skills, Abilities and/or CompetenciesStrong working knowledge of QuickBooks, Excel, Microsoft Word required. Ability to work well with others. Ability to work without supervision on projects. Ability to interpret UGA account status reports required. Prior supervision experience preferred. Provide and grasp the value of quality customer service. Ability to communicate effectively.
Physical DemandsSitting for long periods at meetings or working at computer using repetitive motions. Maneuver in parking facilities near Atlanta office location. Lift up to 20 pounds.

Duties/Responsibilities Duties/ResponsibilitiesAwards Management
The business manager provides professional management of the critical path for sponsored projects, departmental sales and conference/workshop projects. This may include some or all aspects of awards management; i.e., pre-award, award and post-award. At all times the business manager serves as the primary point of contact for public service faculty in matters related to awards management to include, but not limited to:
1. Negotiation, development, preparation, and management of necessary proposals, agreements, contracts, subcontracts, sales orders, invoices, or grants with internal and external constituencies;
2. Analysis and preparation of regular reporting and other data resources to assist public service faculty, as well as other internal and external constituencies, in ensuring adherence to their respective scopes of work and related budgets and assisting with amendments, changes or required corrective actions;
3. Analysis and reparation of ad hoc reporting for the Institute of Government, University, sponsors or other entities as required;
4. Other necessary related duties.
Fiscal Affairs
The business manager provides coordination and management of assigned Institute of Government fiscal operations and oversees assigned accounts ensuring compliance with internal, University, and Board of Regents policies and procedures. This includes, but is not limited to posting, reconciliation and reporting responsibilities and tasks including:
1. Management, reconciliation and reporting of fiscal transactions utilizing QuickBooks and other University Systems as an internal fiscal control as may be required and appropriate for assigned accounts within the
policies and procedures;
2. Preparation, submission and management of financial transactions to include journal vouchers, employee
personnel reports, budget amendments and other transactions as may be required and appropriate for assigned accounts within the policies and procedures;
3. Other necessary related duties.
Client Relations
The business manager develops and maintains a positive working relationship with internal and external clients through demonstrated competency, personal integrity and exemplary professionalism in all
interactions. Through regular communication and interaction, the business manager cultivates positive working relationships.
Cross-Training and Work Team Support
The business manager engages in continuous support with other business managers and staff in the Office of Administration and the State Services Unit to ensure the highest levels of professional service in matters related to the fiscal affairs of the Institute of Government.
Supervise Student Employees
The business manager provides daily supervision to student assistants responsible for tasks related to processing work within the State Services Unit. Through regular communication and interaction with other unit members, the business manager will :
1. Develop work schedules;
2. Assign tasks, provide direction, and manage workloads;
3. Evaluate work quality and performance.
Professional Development and Education
The business manager must possess core competencies in higher education fiscal affairs and seek continuous training and professional development to enhance knowledge, skills and abilities. The position strives always for greater efficiency and effectiveness in meeting the needs of the Institute of Government for sound fiscal affairs.
