Finance and Grant Management Specialist
The Divisions of Adolescent Medicine and Developmental-Behavioral Pediatrics in the School of Medicine at Stanford University are seeking an experienced, versatile finance and grant management specialist (Financial Analyst 2). The successful candidate will work with Division Chiefs, principal investigators, division manager, clinical faculty and staff to manage research, endowment, gift and unrestricted resources. They will perform complex finance functions and/or activities requiring advanced knowledge and application of internal policies, external regulations, precedents, and systems. They will perform a variety of regular and recurring professional finance and accounting functions involving forecasting, fiscal interpretation and analysis, reconciliations, and review of multiple accounts and transactions. "This person will split their time between Redwood City and Campus."

EDUCATION & EXPERIENCE:

Bachelor's degree and four years of relevant experience or combination of education and relevant experience. Research administration and experience with Stanford financial systems and research processes preferred.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Advanced proficiency in business applications, such as Microsoft Office suite, especially Excel.
  • Demonstrated knowledge of accounting systems; internet and computer literacy.
  • Knowledge of GAAP, OMB and other regulatory research requirements.
  • Strong knowledge of Stanford research administration processes including pre and post award research administration.
  • Strong communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal and external audiences and client groups.
  • Excellent time management/organization skills and attention to detail.


    CERTIFICATIONS & LICENSES:

    Stanford Cardinal curriculum (research administration) I and II.
    Certified Accountant or Auditor or similar credential desired.

    Duties include:
  • Develop reports and presentations of complex financial data and metrics for management.
  • Analyze transactions and information to summarize current financial position and forecasts at the division, faculty/PI level. Construct and assemble data for decision making; develop conclusions, and present high-level summary of results and recommendations.
  • Manage sponsored project activity from proposal budgets through final close out to ensure compliance with GAAP, Stanford policy, regulatory and/or contract terms.
  • Conduct analysis and resolution, and recognize exceptions. Participate in developing solutions that may require policy changes or the development of new processes; maintain broader organizational perspective in decision making.
  • Execute internal control programs established by management, research new regulations, and recommend and implement approved changes. Develop and maintain desktop procedures and process documentation for area of responsibility.
  • Review and approve expenditures, maintain labor allocations for all personnel. Responsible for gift processing, capital asset management, procurement, cash processing, travel and purchase card use, and related compliance.
  • Perform and design ad hoc analyses of large complex data sets: reconcile complex accounts. Identify and resolve complex issues which may span multiple areas.
  • Participate as a member of a project team; support new initiatives. Make decisions determining approach to managing and completing processes.
  • Contribute to unit and organization strategy; assist in the development of change management plans and materials as needed.
  • Participate in critical analysis of existing systems and processes, and identify opportunities for process improvement.
  • Review and interpret legal documents for financial terms and conditions including but not limited to billing requirements, reporting and spending restrictions

    Cardinal curriculum I and II must be completed within 1 year to remain in this position.

    PHYSICAL REQUIREMENTS*:

  • Constantly sitting.
  • Frequently perform desk-based computer tasks, use telephone, writing by hand, sort/file paperwork.
  • Occasionally stand/walk, lift/carry objects weighing 11-20 pounds.
  • Rarely reach/work above shoulder.
