The position provides primary administrative support to the Office of Research Administration (Med-RA) and at times may receive assignments from multiple team members within the office as well as the Division of Research Senior Associate Dean’s Office. Must be able to anticipate the needs of the Office of Research Administration.

The position will:
•Provide day-to-day office support, including: processing travel reimbursements, personnel-related documents, and office supply orders or other purchasing; coordinating office equipment
maintenance; organizing and maintaining office administrative/operational records; managing incoming/outgoing mail; answering phones; and running occasional errands.
•Assist in maintaining internal database on sponsored research contract and grant proposals for reporting and recordkeeping purposes.
•Assist in development, formatting, and editing of various reports prepared by the office, both regular and ad hoc reports.
•Assist office staff in ensuring that research-related requests from faculty, staff, or students are properly identified, routed, and handled.
•Assist in the preparation and distribution of a monthly online newsletter highlighting funding opportunities and other research-related information.
•Assist in organizing/coordinating periodic and annual research-related College events, including Grand Rounds and the Research Fair.
•Assist with administrative duties and record-keeping for the medical student Summer Research Fellowship program.
•Manage website updates and create new content as needed.
•Create, design, layout, and edit informational/promotional graphics and materials for Med-RA events.
•Maintaining distribution lists for Med-RA office.
•Organization and maintenance of Division supply room/inventory.
•Other administrative duties and special projects as assigned.Qualifications Bachelor’s degree and two years of office administration/management experience; or a high school diploma/equivalent and six years of experience in the same. (Note: post-high school education may substitute for experience at the equivalent rate.)

This is a highly responsible position in a detail-oriented office where quality customer service and teamwork are emphasized. The candidate must have a solid record of prior office management experience and demonstrate excellent organizational skills, attention to detail, an ability to multi-task, be a quick learner, and proactive problem-solver.
Proficient with Microsoft Office applications.
Excellent customer service, verbal and written communication skills.
Proficient in creating effective and positive working relationships.
Excellent time management and prioritization skills.

Valid Florida/Georgia Driver’s License or the ability to obtain.Preferred Experience organizing meetings or special events; familiarity with Adobe Creative Suite and SharePoint; experience with FSU travel reimbursement and purchasing activities.Anticipated Salary Range Up to $20/hour, commensurate with experience.Pay Plan This is an OPS/temporary Job.Schedule This position will work 30 hours per week.Criminal Background Check This position requires successful completion of a criminal history background check.
