DESCRIPTION

Under general supervision, the Ship Scheduling Assistant will provide administrative support to the Associate Director and Research Vessel Expeditionary Coordinator. Assists with obtaining appropriate documentation for SIO cruises using the SIO/SOMTS web portal. Before each research cruise, communicates directly with ship’s captain, chief scientists, and science participants to convey information about, and to facilitate, cruise preparation.

The incumbent will also assist with the SOMTS portal and SHIPS website including updating content, maintaining accuracy, and confirming links are operational. Maintains office files and updates departmental calendars. Prepares correspondence and provides executive level support for the Associate Director. Performs special projects and conduct other general office duties as directed.

QUALIFICATIONS
  • Proficient computer skills using standard business software, web and database applications, including but not limited to Word, Excel, and PowerPoint. Willingness to learn new applications as required.

  • Demonstrated experience in utilizing general office equipment.

  • Experience working with time sensitive data requirements and frequent interruptions. Proven ability to prioritize work effectively, work well under pressure and meet deadlines.

  • Demonstrated skills to effectively communicate verbally and in writing.

  • Skill to interact and work effectively as a team member displaying tact, diplomacy, flexibility and cultural sensitivity.

  • Ability to embrace and practice UCSD's Principles of Community including the commitment to strive to maintain a climate of fairness, cooperation, and professionalism.
