School/Center OverviewThe Morris Arboretum of the University of Pennsylvania is a historic public garden and educational institution located 15 miles from campus in historic Chestnut Hill. It promotes an understanding of the relationship between plants, people and place through programs that integrate science, art and the humanities. The Arboretum conducts four major activities: education, research, outreach, and horticultural display. DutiesWork at the beautiful, green setting of the Morris Arboretum of the University of Pennsylvania in the Chestnut Hill area of Philadelphia. This is a full time, on-site position that reports jointly to the Directors of Finance/Administration and Marketing.
This position serves as the ‘functional point person’ overseeing all CRM-related software applications & for all interactions with Divisional IT team. Responsible for ‘data mining’ & reporting. Serves as web manager overseeing all Arboretum web sites. Manages & is responsible for all updates as well as the necessary interfaces with CRM-related applications. Assists Marketing Director in interactions with Divisional Communications team. Works closely on a regular basis with other key staff responsible for the various programs & support functions of the arboretum including membership, education, admissions, gift shop, & finance.
Business Analyst Responsibilities
Key to the position is developing an understanding of the business requirements of each service area (Admissions, Education, Membership, Gift Shop) and establishing strong working knowledge of the applications (Raisers Edge, Counterpoint, Outbound, Red Rook) to ensure that the applications support the needs of various stakeholders, making recommendations on business process improvements and making changes (including evaluation, upgrade & replacement as required).
Working in collaboration with the Divisional IT team & external service departments, the position will evaluate, recommend & implement ongoing IT solutions related to the Arboretum & serve as an ongoing resource as subject matter expert in managing applications. Ensures compatibility within IT environment & standards, as well as implementing monitoring controls.
The successful applicant will have strong work autonomy; provide planning, implementation & technical support for IT solutions & project management. They will be responsible for technical & functional analysis of information processing & management systems; perform feasibility & assessment studies identifying interrelationships among systems; work to detailed schedules; devise procedures to solve complex problems utilizing emerging technology considering computer equipment capacity & limitations; & effectively balance the delivery of solutions which streamline processes & provide an improved customer service experience. As each of the service areas is revenue generating, identifying methods of maximizing revenue & evidencing appropriate fiscal stewardship are important sensitivities for the applicant to consider in all aspects of performance.
The position will provide coordination & integration of customized applications developed by third party vendors, & maintain critical ongoing communications. The incumbent will ensure excellent communication with all stakeholders, securing appropriate buy-in & approvals where necessary.
The position will also work closely with departmental managers & others to assess & anticipate needs & keep abreast of industry trends/best practices at other institutions to identify & suggest strategic direction for systems & software applications at the Arboretum. Making recommendations, providing business analysis, ensuring data integrity & running/analyzing reports/data are all important aspects of the job. Some travel will be necessary as the incumbent will be expected to occasionally attend user conferences of the various applications being employed for the Arboretum’s Customer Relationship Management (CRM) platform.
Web Manager Responsibilities
The Web Manager has tremendous impact on how the Arboretum represents itself to its members & to the public, & is responsible for website content, development & web marketing.
The website (morrisarboretum.org) is updated using Dreamweaver, so thorough knowledge & understanding of source code, as well as good computer technical skills are a must. This position also includes other marketing projects, typically those that are technologically oriented. An eye for design & attention to detail are essential. Also, the intersection between the Arboretum’s website and Outbound, the customer-facing side of the Point of Sale & CRM system, will be a key element of responsibility for the incumbent.
A Bachelor’s Degree and 3 years to 5 years of experience or equivalent combination of education and experience is required. Bachelor’s Degree in Computer Science or Management Information Systems or equivalent preferred; graduate degree strongly preferred. A minimum of 4 years relevant experience, preferably business analyst & /or project management experience. Demonstrated experience in an equivalent capacity and/or environment preferred, specifically working in multi-application, multi-functional environments. Excellent interpersonal and communications skills, both oral & written, including ability to provide information to senior managers & directors in a clear and concise manner. Demonstrated experience identifying, analyzing, recommending & successfully implementing technology solutions for complex business needs. Strong client focus with excellent organizational skills. Ability to work on time sensitive projects while maintaining regular responsibilities & working effectively with both technical & non-technical staff. Demonstrated experience learning new information, both technical & procedural, & ability to disseminate both verbally and in writing to end users. Ability to work collaboratively with a high level of initiative. Occasional evenings & weekends may be required, as well as availability by phone after hours.
Technical Skills:
Sound knowledge of HTML/XHTML, CSS; experience with Dreamweaver; Knowledge in Adobe CC Photoshop, Illustrator, InDesign, Acrobat or similar; experience with CMS preferred; Microsoft Office; understanding of social networking sites; experience in Javascript or other advanced scripting language/s desirable; working knowledge of Raisers Edge, Outbound & Counterpoint strongly preferred; Photography skills & an eye for design & visual layout desirable.
