Primary Purpose

Under the supervision of the Manager, Business & Finance, performs duties related to the accounts payable function for the University of the Pacific San Francisco campus.

Essential Functions

1.Process authorizations for payment and purchase order releases; review support documentation (e.g. invoices, contracts, travel receipts, etc.); review forms for accuracy, appropriate approval levels, and consistency with University policies and procedures; enter payment information into BANNER in a timely manner to ensure payment terms are met.

2.Research and follow-up on questions regarding status of payments, past due invoices, refunds, or credit memos; correspond with vendors and/or departments regarding questions, errors, or incomplete paperwork; receive and direct invoices to appropriate department as necessary.

3.Maintain professional relationships with various vendors. Coordinate with vendors regarding updating remit addresses, setting up direct deposit options for payment, etc.

4.Organize, prepare, and mail documentation for both authorization for payments and purchase order disbursements to the Stockton Accounts Payable Department to allow the release of checks.

5.Understand and properly calculate California Source Income tax withholdings for non-residents who perform work in California.

6.Update and submit annual index signature authorization list

7.Prepare authorizations for payment and purchase order releases for departments as needed.

8.Perform quarterly 1099 audit to ensure records are correct prior to the 1099 statements being created and mailed annually.

9.Perform related administrative duties to include answering telephones, copying, filing and general correspondence.

10.Provide coverage for other Business & Finance staff, as assigned.

11.Perform all other duties assigned by the Manager, Business & Finance.

Minimum Qualifications

Knowledge of:
1.General office methods and procedures
2.Accounts payable practices
3.Intermediate Microsoft Excel and Word

1.Minimum of two years’ experience in accounts payable, accounting, or other closely related function

1.High school diploma or equivalent

4.Utilize computer and 10-key machine, and other office machines to perform work

Knowledge of:
1.Journal entry processing
2.Non-profit fund accounting
3.BANNER software
4.Bachelor’s degree in accounting, business administration, or related field
