General Summary of Position:

This being an internal opportunity, only current UML Employees, irrespective of Bargaining units are eligible to apply for this position.

This position provides administrative support as needed to the Facilities Service Center. Primary duties include responding to all incoming calls and visitors related to facility emergencies, maintenance requests and routine inquiries, the coordination of employee programs (such as uniforms and cell phones, and procurement/administrative support) as needed to the Facilities Management Department. Miscellaneous office support may include coordinating office activities and administrative support for multiple senior-level managers within the Facilities Management Department to ensure the smooth operation of facilities business.

Minimum Qualifications (Required):

  • Associates degree with 3 years of related business experience.

*Will consider candidates with at least two years of college and 3 years of related business experience or HS diploma or GED/equivalent and 5 years of directly related experience.

In addition, candidates must have:

  • Two years or more experience responding daily to calls of an urgent nature and providing appropriate guidance and customer service
  • experience in Facilities Management or other related department
  • experience with a facilities workorder/service request system
  • Excellent verbal communication skills with experience demonstrating a calm and assertive phone presence with stakeholders
  • Strong organizational skills, including the ability to coordinate multiple tasks simultaneously and work independently with short deadlines.
  • Proven ability to understand and follow complex oral and written instructions.
  • Experience handling confidential materials and information and maintain confidentiality.
  • Demonstrated competency in Microsoft Suite

Preferred Qualifications:

  • Bachelors Degree in a related field
  • Experience using People Soft or Kronos
  • Preference given to those with one or more years experience in higher education (or similar institutions)
  • Experience with MA procurement procedures
