Job Summary:

A Clinic Coordinator perform clerical and administrative duties of moderate complexity. This position requires excellent customer service skills and the ability to effectively work independently or as part of a team. manage interpersonal relationships and interact/communicate with clarity, tact and courtesy with patrons, patients, staff, faculty, students and others; communicate effectively in English, both orally and in writing; identify priorities; recognize and resolve or refer problems and use or learn a range of position-related software applications.   


  • Schedules appointments for University students utilizing EPIC computer systems.
  • Provides introductory information to students regarding student health protocols.
  • Answers questions by phone and in-person.
  • Mails and faxes patient correspondence while protecting confidential medical information.
  • Serves as informational resource as well as directs students to appropriate University resources for supplemental insurance and other benefit information.
  • Exercises independent judgment regarding when to initiate emergency procedures.
  • Obtains demographic information in a sensitive and confidential manner.
  • Coordinates scheduling and order entry for specialty appointments and physician orders.
  • Utilizes phone skills to effectively communicate with patients, physicians, nurses, and other departmental staff.
  • Initiates student referrals as required.
  • Accepts payment and issue receipts for services rendered.
  • Utilizes a wide range of computer systems effectively.
  • Performs all tasks related to patient visits completely, efficiently, effectively and in a professional manner.

Additional Requirements

Education, Experience or Certifications:


  • High school diploma or equivalent required.


  • Prior experience working in a hospital or outpatient health care setting preferred.
  • Familiar with hospital or medical information systems/electronic medical record preferred.
  • Some college preferred.
  • Knowledge of medical terminology preferred.
  • Extensive public contact experience required.
  • Excellent customer service skills and focus required.

Technical Knowledge or Skills:

  • Typing skills of 35wpm or faster.
  • Excellent verbal and written communication.
  • Ability to communicate in writing and orally.
  • Ability to develop and manage interpersonal relationships.
  • Ability to exercise discretion and confidentiality while handling sensitive situations.
  • Ability to follow written and/or verbal instructions.
  • Ability to give directions.
  • Ability to pay attention to detail.
  • Ability to react effectively, quickly, calmly, and rationally during conflicts and emergencies.
  • Ability to work effectively and collegially with little supervision or as member of a team.

Working Conditions:

  • Clinical care setting.
  • Ability to sit or stand for 4 hours or more.
  • Ability to use computers extensively for 4 hours or more.
  • Ability to Use Standard Office Equipment.  
  • Normal routine involves no exposure to blood, body fluid or tissue as part of employment, but exposure or potential for exposure may occur.
  • Occupational risk for exposure to infectious material and communicable diseases.
  • Required annual TB control training and/or other health screenings.
  • Work may be performed in varied locations inside/outside of the clinical setting including other campus or offsite locations.
  • Ability to use computers extensively for 4 hours or more.
  • Scheduled work hours may change depending on clinic needs. Rotating schedule including 4, 6, 8, 9 or 10 hour shifts may be required. Some weekend hours will be required.
