Requirements

The Executive Assistant provides support to the Assistant Dean of Development and Alumni Affairs. A key member of the Office of Development, s/he manages the Assistant Dean's calendar, scheduling individual meetings as well as meetings involving multiple stake holders. Reporting to the Assistant Dean of Development and Alumni Affairs, the Executive Assistant has additional duties that include but are not limited to:

Administrative
  • Schedules individual meetings and meetings involving multiple stake holders.
  • Manages calendar entries per day and for future dates on a daily basis.
  • Reconfirms meetings and logistics as appropriate, responding to calendar inquiries from other offices.
  • Handles travel arrangements and on-line procard allocation.
  • Prepares procard paperwork for signature and submission to Financial Affairs.

Budgetary Oversight
  • Reviews and processes all reimbursements and contacts.
  • Monitors departmental budget and expenditures, as well as timesheet submissions and approvals.
  • Oversees office equipment and vendor contracts.

Personnel Management
  • Maintains departmental personnel files.
  • Maintains correspondence files and archival Development files.

Qualifications
  • Bachelor's degree
  • 5-7 years of progressively complex administrative experience supporting senior management or C-level executive(s) in preferably a non-profit or university setting
  • Excellent verbal and written communication skills, strong organizational skills, and experience providing complex administrative support in a high-profile environment with tact and diplomacy
  • Ability to work in a fast-paced environment and manage multiple tasks and competing demands and priorities effectively
  • Excellent skills with standard office productivity software such as Microsoft Office with the ability to take the initiative and accomplish projects without supervision
  • Ability to handle highly confidential information with discretion
