The Position:
This is complex clerical work at the action level involved in the planning, purchasing, merchandising, selling and inventory of textbooks, supplies, and general merchandise, including coffee and convenience items and other items for a college bookstore. Follows District standards for merchandising, ordering, stocking, rotating and storing products. Performs cleaning tasks in accordance with District standards and guidelines. Adheres to approved budget guidelines and obtains approval from the store manager for all non-budgeted expenses. Under direct supervision, the employee confers with other staff, faculty, students, vendors, publishers, and other representatives regarding order requests, merchandising resources and availability, purchasing timelines, costs, stock and inventory, discounts, exchange of policy and procedural information, shipping, receipt, pricing, timelines, and purchasing resources. At the direction of the store manager, may be responsible for opening/closing the bookstore. A moderate degree of independent judgment and creativity are required to resolve frequent minor and occasional major problems that arise. A Bookstore Operations Assistant is cross trained and will be able to work in all areas of the bookstore. A Bookstore Operations Assistant can direct the work of student assistants as assigned and cross train students in all areas of the bookstore. Consequences of errors in judgment could be costly in employee time, public relations, and in money.

This is a late afternoon/evening position. The work hours are: Monday-Thursday, 11:30 am - 7:30 pm and Friday, 7:30 am - 3:30pm.

Duties and Responsibilities:
The duties below are representative of the duties of the classification and are not intended to cover all of the duties performed by the incumbent(s) of any particular position. 1. Exchanges policy and procedural information with staff, students, vendors, publishers, business representatives, and others

2. Confers with faculty, students, and other staff regarding textbook and merchandise availability, resources, order timelines, returns, payments, credits, exchanges, buy-backs, inventory, shipping, and receipt of items

3. Meets with bookstore supervisory staff to plan short- and long-range strategies and timelines for improved customer service, acquisitions, publicity and staff/student communications, development of new publisher and vendor resources, reporting, and other retail activities

4. Participates in semester opening and close-out procedures in conjunction with supervisory and other staff

5. Participates in special sales and promotions, publicity, and other activities in conjunction with supervisory and other staff

6. Performs inventory of merchandise in conjunction with other staff

7. Assists customers in the selection, ordering, purchase, payment, and return of textbooks, computers, and supplies

8. Shelves merchandise in special and regular displays

9. Operates a cash register to collect customer payments, make change, process refunds, and other transactions

10. Directs the work of student assistants

11. Uses spreadsheets and other computer software to setup and maintain online and other records and documentation

12. Compiles data for and prepares special and regular reports as assigned; composes and prepares routine correspondence and memoranda

13. Reviews past sales histories to determine quantity of textbooks and other items to purchase, discount, increase, or discontinue, in conjunction with other staff, makes recommendations to supervisory staff regarding modifications to stock and supply purchases

14. Works as part of a team communicating openly and effectively to ensure coordination and cooperation in identifying and solving problems

15. Develops enthusiastically satisfied customers all of the time; welcomes and connects with every customer; discovers customer needs and appropriately suggests product with every customer to enhance service and meet goals; responds to customer needs and says thank you to every customer; maintains the highest level of customer service in each and every transaction

16. Responsible for all inbound freight; checking in shipments, moving items to the sales floor in a timely manner; communicating with publishers or suppliers on damages and shortages; processing receiving documents and invoices; creating charge-backs needed when damage/shortage issues occur

17. Responsible for all outbound returns; identifying and pulling all overstock items from the floor; creating and verifying the accuracy of the charge-back document; safely packing all of the contents to ensure accuracy and that no damage occurs; scheduling with freight companies and assisting where necessary in loading the freight

18. Responsible for managing the flow of returnable and unsalable stock; work with wholesale companies to sell dead stock or utilize the Amazon dead stock program, which entails working with the bookstore Amazon coordinator to list all books for the three campuses, filling orders in a timely manner, updating and posting all confirmations, communicating with customers on order status and fulfillment

19. Assists in cross training and directing student employees in the textbook and receiving departments

20. Coordinates materials from the campus duplicating centers to ensure proper sales packaging, labeling, and placement

21. Adheres to approved budget guidelines and obtains approval from the store manager for all non-budgeted expenses

22. May be responsible to open and close the bookstore at the direction of the store manager

23. Maintains Quality Store Operations; follows District policies and procedures for operational flow; follows District standards for merchandising, ordering, stocking, rotating, and storing products; performs cleaning tasks in accordance with District standards and guidelines and works as a store team member; presents oneself professionally and demonstrates clear communication in all interactions

Minimum Qualifications:
• A combination of education and experience equivalent to college courses in business administration or a closely related field• Successful work experience in a retail operation that has included extensive public contact• Experience with inventory, ordering and documentation of merchandise as well as cashiering• Experience using a variety of computer software to set-up and maintain detailed records and to prepare routine correspondence, memoranda and other written materials• Demonstrated skill in working effectively as part of a customer service team• Possession of a California Safe Serve certification (or ability to obtain certification upon hire)• Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staff as these factors relate to the need for equity minded-practice both within and outside of the classroom

Physical Requirements:
This classification requires the ability to operate standard barista equipment; lift, move, push, and pull up to 50 pounds; bending, stooping, reaching overhead; dexterity of hands and fingers to operate cash register; repetitive use of keyboard, mouse, or other control device; ability to use phone and work at a computer, including viewing a monitor; exposure to cleaning agents to treat coffee machines; and standing for extended periods of time in order to perform the essential functions.
