Job Summary:
USF is a forward-leaning institution that is currently investing in significant growth of its fundraising capacity. The next five years will be especially transformative as increased investments in staffing prepare the Development division for a substantial comprehensive campaign. Reporting to the Associate Vice President of Development, the Development Coordinator will play an integral role in this process at an exciting time in the university's evolution.

Every member of the Office of Development staff plays a role in providing the university's donors with the service and attention that ensures an exceptionally positive and fulfilling philanthropic experience. The Development Coordinator will support fundraising programs and activities for the Major Gifts and Gift Planning teams. Development Coordinator will work with frontline fundraising staff, program managers, internal partner teams, donors, volunteers, and other university staff to assist in establishing and maintaining relationships with all university constituencies. S/he will also exhibit patience, flexibility, sharp attention to detail, a high level of professionalism, a strong sense of priorities, and a superb level of tact and discretion.

The Development Coordinator will focus on be on four key areas: data management, administration, event coordination and special projects oversight. This position provides administrative assistance with a specific focus on project support for key revenue objectives.

Full Job Description:
Data Management - 40%
  • Coordinate the transfer and ongoing entry of pipeline information into Salesforce CRM;
  • Assist with initial and ongoing CRM training for new and current members of Development;
  • Work with teams across the division to track and improve internal business processes surrounding data management related to major gift fundraising activities.
  • Analyze current and recommend/implement changes to systems of tracking and storage of internal user manuals and guidelines;
  • Assist Gift Officers and Prospect Research and Management in preparing data needed for annual performance reviews;
  • Provide support to development officers in tracking activity and results; use data creatively to help accelerate the number and quality of external contacts;
  • Support individual and team goals through reporting (activity, productivity, and pipeline);
  • Create dashboards for Gift Officers for tracking of key metrics, ensuring consistency in data being tracked across division
  • Use data creatively to support collaboration among colleges and business units. Collaborate and meet on a regular basis with the report writers team.

Portfolio Management - 30%
  • Retrieving, reviewing and updating information about prospects and donors; requesting assignments, and generating simple reports using the CRM.
  • Attending, tracking and participating in quarterly check-in meetings with partner teams.
  • Assisting in the design, publication, and production of fundraising materials. Examples include correspondence, faculty bios and spotlights, briefings, and stewardship letters.

General Administration - 10%
  • Manage staff calendars and assist in scheduling internal meetings;
  • Identify and resolve problems and situations that affect the efficient flow of work between departments or outside agencies;
  • Under supervision of the Sr. Director of Administration, assist with management of division budget processes including tracking and reconciliation of expenses. Prepare and submit expense reports on a timely basis as requested;
  • Support planning and execution of development events as needed;
  • Assist Major Gifts and Gift Planning teams with tracking and fulfilling information requests;
  • Work closely with the Assistant Director for Gift Planning in their work surrounding estate administration
  • Tracking on key dates across the organization and institution.
  • Build a network of relevant contacts, and stay informed on current university initiatives and activities.
  • Prepare presentations and spreadsheets for internal and external audiences.

Event Support - 10%
  • Reviewing potential list of attendees for events with gift officers to ensure strategic attendance.
  • Supporting gift officers in the planning, implementation, and coordination of events not supported by our internal events management team. Could include coordination of event planning meetings, tracking attendees, catering, restaurant reservations, and on-site support such as attendee check-ins, directions, equipment set-up, and event parking.
  • For events supported by the internal events team, the development coordinator partner may: take notes and track high-level action items and agreements, schedule meetings with faculty, add key deliverable dates to the gift officers calendar, create and update prospect records, schedule pre- and post-mortem event meetings.
  • Independently coordinate meeting and event details;

Special Projects - 10%
  • Coordinating travel for faculty and gift officers as needed for donor visits and/or conference attendance.
  • Collaborate with the Office of the Vice President and Program Assistants to ensure administrative support is properly allocated for future and ongoing projects.
  • Support Office of the Vice President on an as needed basis to coordinate talent search and onboarding processes.

QUALIFICATIONS:
  • Bachelor's degree or equivalent work experience.
  • Understanding of and support for the goals and objectives of the fundraising operation and the Development operation more broadly. (Knowledge of fundraising techniques helpful.)
  • Familiarity with USF processes and systems desired.
  • A minimum of 3 years of progressive and successful development or operations experience in the higher education arena or non-profit.
  • Required: Strength in database management and strong familiarity with Salesforce.
  • Excellent written and oral communication skills, including demonstrated writing and editing skills in the preparation of proposals, and in the drafting of related correspondence.
  • Stellar relationship building skills and ability to build rapport with internal and external stakeholders.
  • Commitment to appropriate use of sensitive and confidential constituent data.
  • Excellent time management, organizational and follow-up skills.
  • Ability to work well under deadline and to manage multiple projects simultaneously.
