Primary Purpose

Professional Academic Advisers/Retention Specialists support the University’s strategic plan by providing professional academic advising & success coaching to help undergraduate students achieve their academic, personal and career goals. Provide ongoing one-one coaching for students identified as academically at-risk of attrition as well as drop-in advising support for the general undergraduate student population on the Stockton campus regarding course registration planning; academic requirements, policies and procedures; progress towards graduation; and overall decision-making on academic issues.

Reporting:
The Professional Academic Adviser/Retention Specialist positions report to the new Director of the Academic Advising & Student Success Center.

Essential Functions

1. Independently coordinate and deliver academic advising and coaching to an assigned group of students each year who are identified as “at risk” of attrition beginning with virtual contact over summer pre-matriculation; develop action plan for success based on the unique needs of each student; monitor and assess student progress in achieving their path to success and make adjustments to their path based on the progress and changing needs of the student; identify current and potential challenges (e.g. adjustment to college, time-management) and counsel students through complex academic/personal challenges; make appropriate referrals to campus resources; coordinate and communicate with primary, faculty adviser of each advisee to ensure consistency and clarity for students; track and support student progress to degree.

2. Provides in-person/walk-in advising support for all undergraduates on Stockton campus during drop-in advising hours (including evening and weekend hours).

3. Assist general undergraduate student population with rectifying academic issues, providing multiple solutions, including resource referral.

4. Provide academic counseling to undergraduate students on matters such as course registration, developing an academic plan, fulfilling university general education requirements, interpreting major and school requirements, declaring a major, applying for graduation, academic policies and procedures as well as help with goal-setting, planning and decision making.

5. Resolve complex advising-related situations by applying in-depth knowledge of academic policy and recommending an appropriate course of action to students; serve as an advising expert for faculty and staff who need assistance resolving complicated advising issues.

6. Assist in development, coordination and delivery of student success workshops on topics related to the retention of students including study skills, time management, choosing a major, adjustment to college, goal-setting, and others to be determined based upon needs.

7. Collaborate with Career Resource Center’s “Career Advising & Success Specialists” to support integration of academic and career advising and student development; refer advisees to appropriate staff in CRC; ensure advisees are “on track” with career development milestones as well as academic requirements.

8. Collaborate as a team member and liaison for the Academic Advising & Success Center at new student events including Orientation.

9. Evaluate new student transcripts to affirm developmental math and writing placement and support outreach efforts to ensure all students are enrolled in appropriate courses.

10. Assist with registering new students for classes pre-matriculation as part of the block scheduling team.

11. Perform quarterly reviews of academic records for assigned students to ensure compliance with academic regulations and policies and communicate with students accordingly.

12. Perform annual reviews of academic records for rising juniors to ensure assigned students are on track to graduation; communicate results of this mid-point degree audit process to students, faculty advisers, and appropriate Dean’s Office; host pre-graduation workshops for rising seniors.

13. Conduct presentations at new student orientation and other student outreach events.

14. Assist with developing and implementing programs and workshops, as needed.

15. Participate in regular staff meetings; serve on committees as needed or requested.

16. Maintain accurate academic records and forms in appropriate confidential manner in accordance with FERPA and other relevant policies using the CRM and other online tools.

Minimum Qualifications

• B.A. or B.S. degree from an accredited institution.
• Ability to create rapport with undergraduate students.
• Skills in judgment, decision-making, problem solving.
• Strong written and verbal communication skills, including active listening. Demonstrated tact and diplomacy in working with diverse population, including parents, students, faculty, campus administrators, and the public.
• Interviewing techniques and ability to facilitate effective academic advising sessions one-to-one.
• Ability to exercise confidentiality, discretion, and judgment; handle moderately sensitive interpersonal issues.
• Knowledge of or ability to quickly learn and accurately apply university policies, procedures and requirements for all undergraduate programs.

Preferred Qualifications

•M.A. or M.S. in Education, Counseling or Student Affairs.
•Experience as an academic adviser at a college or university.

Work is primarily performed in a standard office environment with use of computer and phone. Requires extended periods of sitting and repetitive hand/wrist motion while using computer keyboard and phone. Occasional standing, walking, climbing stairs, bending, stooping and reaching. Occasional lifting up to 25 pounds.

Work Environment/Work Week/Travel:
Work performed mostly during standard business hours as well as some hours during evenings and weekends. Occasional travel may be required.

Valid driver’s license required. Incumbent must also be able to meet the University’s fleet rules and be eligible to drive for University business. The University and its insurance carrier reserves the right to exclude applicants based on their driving record.
