02-Jun-2019 Close All Job Summary Counseling and Psychiatric Services (CAPS) welcomes applications for an Office Manager. Under the direction of the Director of Counseling and Psychiatric Services, the position is responsible for overseeing the front desk staff and providing oversight for initiating the point of care process, including but not limited to educating students about their insurance benefits and creating a welcoming environment. This position is a critical link between students and clinical staff of the Counseling and Psychiatric Services. The Office Manager provides a consultative role through assessment, development of solutions, and advise on issues such as patient flow, staff workflow, patient satisfaction, quality assurance, IACS standards and accreditation, other process improvement; this position must collaborate and work effectively with clinical and business functions throughout CAPS for patients according to established policies and procedures, entering and verifying insurance and working collaboratively with all staff. This position also supports the CAPS Director and Associate Directors on the administrative needs of the clinic, including arranging professional development travel and registration and tracking, management of the daily providers’ schedules, monitoring department supplies and purchasing needs, developing and updating office policies and procedures, and assisting the Director in service data and patients satisfaction survey reports, and the overall general office operational needs.
Working in a team-oriented environment, the Office Manager will create an environment that promotes creativity and innovation in responding to the student’s needs and the needs of the broader community and advocating for health and wellness initiatives. The position will collaborate closely with the Medical Clinic as well as other departments within the division of Student Affairs. Who We Are Counseling and Psychiatric Services (CAPS) is the primary health care resource for CU Boulder students. Through comprehensive care and education we strive to give students the skills and knowledge they need to develop healthy life-long habits. We offer confidential, on-campus mental health and psychiatric services for a variety of concerns such as academics, anxiety, body image, depression, relationships, substance use and more. We offer services in several on-campus locations, at Wardenburg Health Center, the Center for Community (C4C), and various ad-hoc sites for our confidential, informal Let's Talk program. What Your Key Responsibilities Will Be Operations
  • Manage all functions related to patient access at CAPS, including but is not limited to, creating new workflows related to students with commercial insurance, eligibility, and intake.
  • Manage clinic schedules and work with Associate Director of Clinical Services in ensuring clinical staff coverage.
  • Develop, update, and implement procedures, protocols, and policies relating to:
    • Triage and walk-in process to ensure that the student receives continuity of care.
    • Front desk operations and on-boarding procedures.
    • Student registration including processing patient/student eligibility, and billing.
  • Complete HR documents for hiring and departure of CAPS staff.
  • Collaborate with data analyst and Director and Associate Directors of CAPS to forecast patient care volumes and other organizational needs.
  • Provide administrative support to the CAPS Director and Associate Directors, including travel arrangements, hiring arrangements, professional development/conference registrations and arrangements, preparing and compiling peer review data and other patient’s satisfaction surveys.
  • Assist the Director and Associate Director of Training in IACS and APA accreditation preparations.
  • Oversee the overall clinic operations, alarm system management, building needs & compliance, and daily staff scheduling. Represent CAPS in the building committee.
  • Monitor department’s supplies and provide purchasing and expense/budget processing.
Supervision
  • Recruit, train, supervise and evaluate a minimum of 3 professional support positions; assign tasks and monitor progress on projects to ensure CAPS support needs are met.
  • Conduct planning, coaching and review sessions; coordinate hiring, performance evaluations, and disciplinary actions; manages schedule and work responsibilities for front desk staff.
  • Create and implement departmental and organizational policies and procures in accordance with system, campus, HIPPA, FERPA and IACS accreditation standards/
Eligibility
  • Review student eligibility and determine insurance or supplemental care benefits by referencing multiple databases including but not limited to a student’s health portal, CUSIS, and a clearinghouse.
  • Interact with the electronic health record, practice management system, insurance company(s), and releases confidential information following state and federal regulations and HIPAA guidelines
Customer Service
  • Foster an environment which promotes patient comfort and trust and always exemplify the core values and missions of the organization.
  • Counsel patients and trains staff on insurance processes and requirements; provides support and guidance for staff throughout the Counseling Center related to commercial insurance.
  • Collaborate with Information System (IS) and Health Informatics (HIM) to ensure that the backup and operations of the electronic health records (EHR).

  • 4 years of experience in the medical or counseling center setting.
    • Appropriate education will substitute for the required experience on a year for year basis.
  • Experience supervising staff.
What You Will Need
  • Strong understanding of confidentiality and management of highly confidential medical records and information.
  • Experience with management, hiring, and evaluation of administrative/front desk staff.
  • Professionalism and strong communication skills.
  • Experience with electronic medical records and basic Windows programs.
  • Experience with purchasing and budget management.
  • Experience with insurance and billing.
  • Strong customers’ service and problem-solving skills.
  • Ability to multi-task and remain calm under stress.

  • Fluency in Spanish, Mandarin or Cantonese.
